Position Overview: The Meetings & Special Events Coordinator plays a crucial role in the success of the AAA by overseeing the planning, coordination, and execution of meetings and conferences. This individual will work closely with internal teams, external vendors, and partners to ensure the delivery of high-quality events that contribute to the advancement of anthropological knowledge and the growth of the association.
Key Responsibilities:
Meeting and Conference Planning:
Lead the planning and execution of the AAA's annual meeting and other conferences, ensuring seamless logistics, program development, and participant engagement.
Collaborate with various committees, volunteers, and external partners to design and implement innovative and inclusive meeting experiences.
Stay informed about accessibility best practices and emerging trends as they pertain to conference planning.
Work closely with Marketing & Education departments to ensure promotion of events and consistent programming and engagement strategies throughout the year.
Program Metrics and Evaluation:
Establish and implement metrics to measure the effectiveness and impact of meetings and education programs.
Develop evaluation frameworks to assess participant satisfaction, learning outcomes, and overall program success.
Use data-driven insights to make informed decisions and continuously improve program offerings.
Utilize conference data to inform educational themes and topics of interest.
Budgeting and Financial Management:
Work with Deputy Executive Director to develop and manage budgets for meetings and education programs, ensuring fiscal responsibility and cost-effectiveness.
Maintain, update and adhere to contracts with venues, vendors, and service providers to secure compliance, favorable terms and maximize resources.
Communication and Marketing:
Collaborate with the marketing and education teams to promote meeting programs through various channels, including social media, newsletters, and the AAA website.
Work with marketing to find creative ways to consistently communicate the value of AAA's events and education initiatives to diverse audiences.
Partner Engagement:
Cultivate relationships with key partners, including members, sponsors, and partner organizations to enhance collaboration and support for AAA initiatives.
Solicit and incorporate feedback from participants to continuously improve the quality of meetings and educational offerings.
Other:
Provide staff support for AAA Board Committees/Commissions as assigned.
Assist with planning and executing the AAA Annual Meeting.

Requirements:
Bachelor's degree in a related field.
Proven experience in meeting and event planning, preferably within a non-profit or association setting.
Strong organizational and project management skills, with the ability to manage multiple tasks and deadlines simultaneously.
Excellent communication, customer service, and interpersonal skills.
Familiarity with anthropological concepts and the academic community is a plus.
Proficiency in relevant software and technology for event management.
