The American Society of Echocardiography (ASE) is a nonprofit medical organization committed to advancing cardiovascular ultrasound to improve lives. ASE is seeking a full-time Project Manager to join our External Relations Department.
Position Summary: The Project Manager will manage a portfolio of ASE’s industry-related projects, including educational programs, posters, and visual communication tools. The ideal candidate will excel in project management, stakeholder collaboration, and delivering high-quality results that align with ASE’s strategic goals and sponsor objectives. This full time, exempt position will report to the Chief Business Strategy Officer and has potential for a hybrid work schedule, requiring in-office work one day per week and occasional other in-office work as needed. Candidates must live in one of the following states to be considered for employment: NC, SC, VA, MD, DC, GA, or TN.
Essential Duties and Responsibilities: Approximately 90% of the time
Industry-Related Project Management
Oversee revenue-generating projects, including planning, budgeting, and execution.
Collaborate with faculty, content experts, and stakeholders to develop educational content and programs within deadlines.
Create and submit grant proposals, including drafting materials and managing sponsor portals.
Ensure quality assurance by managing technical contractors and facilitating peer review cycles.
Develop and maintain strong professional relationships with volunteers, content experts, and sponsors.
Track and report project outcomes, strategic alignment, and financial ROI.
Coordinate industry surveys, manage billing/invoicing, and oversee contractor selection through RFPs.
Team Coordination
Foster strong internal collaboration by organizing quarterly cross-department meetings.
Review organizational meeting minutes for strategic alignment and reporting.
Actively participate in team meetings and brainstorming sessions.
Committees and Taskforces
Support and manage taskforces or workgroups as assigned by leadership.
Other Functions: Approximately 10% of the time
General Administrative
Attend ASE staff meetings, engage in professional development, and contribute to organizational initiatives.
Provide administrative support, including scheduling, minute-taking, and creating presentations.
Deliver exceptional customer service to ASE’s corporate partners.
Travel:
This position may require up to 10-15% travel, including attendance at ASE’s annual convention and other exhibit venues.
Occasional travel to ASE’s Durham, NC office may also be required.
Experience: 2-4 years of project management experience, preferably in a scientific, medical, or professional membership association setting. Prior experience working with physicians, high-level professionals, and volunteer committees is preferred.
Specific Skills/Knowledge:
Strong writing skills and demonstrated ability to communicate well with internal and external partners.
Proven ability to manage multiple projects with competing deadlines and budgets.
Strong organizational and communication skills, with keen attention to detail.
Demonstrated ability to build and maintain professional relationships with diverse stakeholders.
Experience drafting grant proposals, business writing, and pitch materials.
Proficient in Microsoft Office Suite, database programs, and online applications.
Self-motivated problem-solver who thrive in a team environment.
Ability to work flexible hours, including occasional evenings and weekends.
Physical Requirements:
Must be able to sit for long periods of time
Ability to travel (airplane) to domestic U.S. event locations as assigned.
Must be able to work a variety of hours in order to accommodate events
