The Society for Intercultural Education, Training and Research USA (SIETAR USA) is seeking an experienced independent association manager to provide financial, membership, administrative and conference support. As an independent contractor, you will report to the officers of the Society to manage the operation of the SIETAR USA office. You will be responsible for providing administrative and strategic support for Society activities including, but not limited to, membership, conferences/webinars/seminars, website and social media coordination, association compliance, communications and financial accounting.
Responsibilities:
Adheres to all standards set forth by the bylaws and policies of the SIETAR USA Board of Directors.
Serves as a non-voting member of the Board of Directors and executive committee.
Responsible for planning, organization, and execution of the Society’s operations as defined by the Board of Directors.
Assists the Membership, Outreach and Diversity Director with establishing strategic growth goals and objectives, sends out membership renewal notices, verifies membership requirements, collects and deposits membership dues and maintains a membership database with real-time data and analytics.
Ensures services and contracts with other persons or entities including, but not limited to, hotel event staff, tax firm, banking staff, software companies and accounting firms meet or exceed the needs of the Society.
Maintains Society’s business documents and files (paper/digital), emails, phone calls and facilitates all communication to SIETAR USA members through the SIETAR USA office.
Responsible for coordinating all Board of Directors meetings including notifying the Board of meeting dates, times and locations, providing the President’s meeting agenda and reports.
In cooperation with the Secretary, records minutes for all Board of Directors meetings and distributes them according to SIETAR USA policy.
Working with the Treasurer, develops and leads annual budget reviews, monthly and quarterly reviews and periodic forecast updates for the Board of Directors.
Collaborates with the Treasurer to manage all SIETAR USA funds through payment of monthly invoices, deposits of all payments into the appropriate account and documentation of all payments and reconciles all SIETAR USA bank accounts on a monthly basis ensuring an adequate savings account balance.
Provides administrative support for the financial goals of the Board of Directors which may include projects such as fundraising or diversification of revenue streams.
Maintains the SIETAR USA website, electronic and social media accounts with assistance from the website host and Communications Director including timely responses to member and non-member inquiries sent via each platform.
Supports the goals and objectives of all SIETAR USA portfolios and committees under the supervision of the Board of Directors including, but not limited to: Officer and Board elections, educational activities planning and execution (conferences, webinars, seminars), response to sponsor, exhibitor and advertiser questions, coordination of scholarships and awards.
Collaborates with the Communications Director on dissemination of SIETAR USA publications and announcements including, but not limited to, monthly newsletters, event links and E-blasts.
Working Conditions:
Work is normally performed in a typical office/home environment.
While hours of operation are generally standard, flexibility to work evenings and extended hours may be required for Board Meetings and Conferences.
Travel may be required for Board meetings and Conferences.
Requires periods of sitting, standing, telephone, and computer work.
Hearing: adequate to hear stakeholders in person, over the telephone or through digital technology.
Speaking: adequate to speak to stakeholders in person, over the telephone or through digital technology.
Vision: Visual acuity adequate to perform job duties, including reading information from printed sources and computer screens.
Physical effort required: occasional lifting and carrying items weighing up to 15 pounds, unassisted.
Sufficient dexterity to operate a PC and other office equipment.
Required Skills/Abilities:
Experience working with Boards of other professional associations.
Strong administrative and accounting skills.
Experience organizing online and in-person meetings.
Demonstrated ability to build relationships with board members, Society members, vendors, and others with whom SIETAR USA does business.

Familiarity with Kajabi software (and initiative to become proficient)
