As the Specialist – Meetings, you’ll play a key role in the planning and execution of small meetings, the annual citywide conference, and executive events. You’ll oversee event logistics and collaborate with colleagues and volunteer leadership. This position is ideal for a proactive, detail-oriented individual who can manage multiple projects and enjoys advising others on best practices in event management.

The American Society of Colon and Rectal Surgeons (ASCRS) and its affiliate, the Research Foundation of the American Society of Colon and Rectal Surgeons, is a vibrant, collegial and highly respected community of health care professionals who have been dedicated to advancing the understanding, prevention and treatment of disorders of the colon, rectum and anus for nearly 125 years. ASCRS represents approximately 4,000 physicians and other health care providers interested in the specialty of colon, rectal and anal surgery. Key Responsibilities
Event Planning & Logistics: Lead the planning and execution of small and large-scale business events, overseeing logistics, meeting specifications, and event timelines. Manage event setup, including room layouts, audiovisual needs, and catering.
Contract & Pricing Management: Review vendor contracts and negotiate pricing for food & beverage, audiovisual, and other event services to ensure high-quality outcomes while adhering to budget.
Stakeholder Engagement: Act as the main point of contact for internal teams, vendors, sponsors, and volunteer leadership. Provide strategic advice on meeting structures and educational formats to create engaging learning environments.
Onsite Event Management: Manage onsite event logistics, addressing any issues that arise, and ensuring the smooth execution of all meeting components.
Training & Advising: Serve as a subject matter expert, providing guidance to colleagues and volunteers on effective event planning best practices.
Budget Management: Oversee event budget line items, ensuring cost-effective solutions while maintaining quality. Handle post-event financial reconciliation and vendor payments.
Technology & Reporting: Utilize tools like Cadmium, SurveyMonkey, Passkey, and other platforms to organize logistics, track housing and travel, and communicate with staff & members. Prepare post-event reports and analyze outcomes for future improvements.
Qualifications
BA/BS degree or equivalent experience and 2-3 years of experience in managing large-scale business events or equivalent experience in convention services or hospitality management.
Certified Meeting Professional (CMP) preferred or the desire to become certified within two years of hire.
Experience in nonprofit organization preferred.
Experience working with physicians preferred.
Strong project management skills with the ability to juggle multiple priorities and deadlines.
Excellent communication and negotiation skills, with experience managing vendor relationships and negotiating pricing for event services.
Proficient in the use of Microsoft Office and the Office 365 environment.
A collaborative attitude with a passion for teaching and advising colleagues on event planning best practices.
A proactive problem-solver who can manage on-site event logistics calmly under pressure.
Ability to travel up to 15-20 days annually throughout the year.
