The Meeting Manager is responsible for planning 2 national and 2 regional association conferences per year and their main components, including site selection, speaker coordination, audio visual, food & beverage, continuing medical education, exhibits, and scientific posters at nationally-recognized association management firm.
Key Responsibilities
- Circulate RFPs for site selection, conduct site visits, contracting venues - Work with program chairs on schedule development, speaker invitations/logistics - Coordinate AV, F&B, room setups with properties - Coordinate exhibits and posters - Implement conference evaluation tools, collecting & analyzing data - Coordinate CME applications and associated requirements - Select vendors: security, print, mobile app, staffing, design, transportation, etc. - Coordinate special events - Oversee team members who work on event promotion and registration
Requirements
- Bachelor’s degree - Excellent communication skills with a strong focus on customer service - Ability to work well in a team and independently - Excellent organizational, time management and attention to detail skills - Ability to work well under pressure and firm deadlines - Strong problem-solving skills - Computer literacy with expert knowledge of Microsoft Office - Knowledge of Zoom Webinars - Experience planning medical or scientific meetings, knowledge of medical CME - Current CMP credential highly desired - Minimum of 3 years previous meeting planning experience required - Knowledge of Cadmium Meeting Platform is preferred - Previous MAC experience preferred (we are a MAC only office)
