THE OPPORTUNITY
The Membership Coordinator is a key player in delivering exceptional administrative support and service to the members of CMLS while supporting the organization’s broader membership objectives, resources, and initiatives. The ideal candidate must be a highly effective organizer with outstanding attention to detail and have expertise in handling a wide variety of projects and activities including playing a pivotal role in the execution of our annual conference and year-round events. This person will take pride in maintaining operational excellence while having the confidence to make recommendations for process improvements. Reporting to the Senior Manager of Member Experience, the coordinator will ensure member interactions align with the priorities set by the CMLS Board of Directors and value how their work contributes to membership growth and engagement.
As a member on our small, but agile, team specific responsibilities include but are not limited to the following:
Provide customer support to CMLS members, primarily via email, handling member recruitment, onboarding and inquiries.
Assist with event logistics for in-person, hybrid, and virtual events.
Foster and maintain relationships with members and vendors.
Prepare accurate financial reports and projections in Microsoft Excel.
Troubleshoot event and membership-related issues ensuring smooth operations.
Coordinate administrative tasks related to events, special occasions and programs, including researching restaurant and event venues, order placements, reviewing banquet event orders (BEOs), making restaurant reservations, and managing registration counts.
Serve as the point of contact for sponsorships for the annual conference.
Maintain and troubleshoot the association’s management system (AMS/LMS) and member records, as well as perform general website updates.
Support the preparation of routine reports in multiple Microsoft Office Suites.
Assist with business file organization and structure maintenance.
Develop expertise in virtual event platforms (such as Zoom) and provide technical support as needed.
Provide administrative support across membership, educational programs, and operations departments.
Some travel is expected and required approximately 2-3 times per year.
QUALIFICATIONS
Minimum of two years’ experience in trade associations, office administration, event coordination, member engagement, or customer service.
Ability to work independently while adhering to assigned tasks and parameters.
Strong attention to detail, with excellent verbal and written communication skills.
High proficiency in Microsoft Office Suite (Word, Excel, Outlook).
Strong problem-solving and critical thinking skills.
Ability to work autonomously while being a team player, with flexibility, versatility, and resourcefulness.

Strong organizational skills with an eye for detail.
Excellent interpersonal communication, both verbal and written.
