The Strategic Meetings Manager will manage the planning, organization and coordination of AGD meetings hosted at AGD offices and off-site. Meetings include the Annual Meeting, Hill Day, Leadership Development Symposium, Joint Council Meeting, individual council/committee/task force meetings, Executive Committee, Board Meetings, and other in-house or external meetings as necessary. Leads logistical planning for assigned meetings including housing, food & beverage management, AV requirements, vendor negotiations and on-site management. Additionally, this position is responsible for the meeting logistics for the Assist with organizational activities and special projects as directed.
Key Responsibilities:
In conjunction with the Director, Meetings & Exhibits select appropriate facilities for all off-site AGD meetings. Create RFPs, collect proposals, negotiate hotel contracts, manage housing, catering, function space, audio visual, and social events.
Logistical lead and project manager for the Annual Meeting and works closely with the Director, Governance on all Annual Meeting activities.
Manages the planning and execution of Hill Day, Leadership Development Symposium, Joint Council Meeting, off-site Board Meeting, and some meetings at the AGD Headquarters as assigned.
Responsible for all aspects of housing management for Scientific Session. Main liaison with hotels, and housing management companies and bureaus to ensure seamless reservation processes for attendees while monitoring attrition and possible financial liabilities. Working with Director, Meetings & Exhibits and hotels to re-formulate blocks (as needed) rates and concessions, as well as manage final post-show audits to ensure housing credit for all AGD attendees.
Create and monitor the budget for the Annual Meeting, Joint Council Meeting, Leadership Development Symposium, Board Meetings, Hill Day and other assigned meetings. Reviews assigned event monthly financial reports.
Point of contact for AGD meeting space rental groups.
Manages AGD’s corporate hotel rewards program and other business travel programs.
Work in conjunction with the Director, Meetings & Exhibits and the Marketing department on Scientific Session pre & post show marketing. Marketing pieces include promotional brochure, misc. registration & housing emails, and on-site final program, management of specific meetings websites, and other general marketing components.
Bachelor's Degree in Hospitality or related field
Seven to ten years professional experience in meeting planning; some supervisory/management experience preferred. Association background is preferred (additional hotel background a plus). CMP designation highly preferred. Knowledge of dentistry helpful.
Positive customer service focus and ability to communicate authoritatively, effectively and tactfully with AGD officers, members, suppliers and staff. Possess exceptional Microsoft Office skills, familiarity with meetings software and ability and willingness to learn new software and programs as required. Event registration platform experience is a plus. Be flexible, adaptable, able to work on a wide variety of tasks independently and in a team environment, ability to keep confidentiality, solve problems creatively and effectively and make sound judgment calls. Possess the ability to meet deadlines, set priorities, work independently, develop budgets, monitor and control expenditures, and demonstrate a high degree of attention to detail. Possess excellent organizational, oral and written communications skills. Be able to work additional hours and travel as needed.
