The Sales Coordinator is responsible for managing the proposal process for all new business proposals in Loopio, as well as ensuring process timelines are met and coordinating administrative functions in support of the sales process. The sales coordinator will support the development, writing, formatting and editing of proposals, responses, presentations and other documents as needed. The sales coordinator will prepare, rewrite, edit or proof documents to detect and correct errors in spelling, punctuation and syntax, as well as reviewing consistency and compliance with requirements. The sales coordinator will also participate in establishing proposal schedules and support the proposal work plan, managing assignments and collecting and organizing proposal content. She will create, update and enhance the quality of proposal content. She will maintain accuracy of Salesforce records and new business scorecard.
ESSENTIAL DUTIES AND RESPONSIBILITIES

Develop proposal schedule, outline and other materials needed for proposal process.
Manage and enforce proposal schedules to meet multiple, and often overlapping, deadlines
Assist in scheduling prospect calls and gathering questions from department heads and sales team.
Conduct and participate in meetings with internal resources and prospects to create winning proposals
Format and layout of proposal documents; to include integrating text and graphics in Loopio and convert inputs from multiple sources (Department Heads and Sales team) in to one cohesive proposal
Write and edit clear, concise and compelling proposal content
Assign writing and editing responsibilities; write and/or rewrite proposal content derived from internal resources or subject matter experts through one-on-one interviews or prepared text
Create the final proposal document, both electronic (PDF) and hard copy (if required) versions
Ensure that the Loopio proposal content library and the AH New Business folder is organized and up-to-date
Assist in developing proposal presentations as necessary and coordinate presentation logistical arrangements
Manage inventory of sales collateral. Prepare and ship, as needed, presentation packets and tradeshow exhibit materials
Maintain Salesforce records and dashboard, as well as the NB scorecard in Google Drive
Coordinate logistical arrangements of new client deep dive meetings and "get to know" sessions

EDUCATION/ EXPERIENCE/REQUIRED PROFICIENCIES
Bachelor's degree in English, Communications, Marketing, Business or other related field.
A minimum of 4-5 years of progressive experience in a fast-paced environment developing, formatting, writing and producing competitive proposals.
Positive, energetic, process-oriented, organized and capable of thinking both strategically and short-term to improve outcomes for proposals. Specifically, must be:
Extremely detail oriented; keen eye for detail and skills in compliance, style and consistency throughout the proposal; with emphasis on accuracy and quality
Able to multi-task on more than one project at a time
Experienced formatting very large documents using style sheets
Have advanced proficiency in MS Office, Excel and PowerPoint
Able to learn new technologies quickly and effectively (Salesforce, Loopio)
Have proven experience manipulating and formatting graphics for proposals
Able to complete assigned tasks within the required deadlines
Project management experience and able to hold others accountable for meeting deadlines
Have strong ability to perform multiple tasks, meeting all critical deadlines
Proficient at researching and authoring responsive, persuasive and competitive proposal sections
Able to work effectively with a diverse range of people who possess a variety of skills, experience and personalities
Able to operate independently and in a team environment to communicate effectively with subject matter experts, team, management and prospects.
LANGUAGE SKILLS
Must have strong and demonstrated editing/writing skills
Writing, research and critical-thinking skills, to include the ability to accurately proofread the entire document
Excellent analytical, oral and written communication skills

This position requires some travel. This may include the ability to drive a car or travel on public transportation such as trains and airplanes.

Reaching above shoulder height, below the waist or lifting to move or access materials throughout the work day. Proper lifting techniques required. May include lifting up to 25 pounds for files, presentation equipment/documents and computer printouts on certain occasions.
Vision acuity: duties may require the ability to identify and discern colors accurately, to focus and see both close up and far away.
Primary environment: ambient room temperatures, lighting and traditional office equipment as found in a typical office environment.
