POSITION DESCRIPTION
TITLE: Coordinator, Publications
REPORTS TO: Senior Managing Editor, Clinical Gastroenterology and Hepatology
SUMMARY: Responsible for the general administrative and logistic support of the journals’ editorial workflow and peer-review process.
DUTIES AND RESPONSIBILITIES:
Assists the Publications Department with the editorial workflow, peer-review process, and technical support of editors, authors, and reviewers:
Quickly and efficiently carries out select tasks associated with the final stages of the peer-review process by notifying authors of journal decisions and/or transmitting final versions of accepted manuscripts to the publisher.
Promptly reviews galley proofs provided by the publisher according to established criteria.
Provides support to associate editors throughout the peer-review process, including inviting reviewers and monitoring turn-around times.
Participates in regular meetings with the Clinical Gastroenterology and Hepatology board of editors and/or editor-in-chief.
Manages the journal email account, which includes responding in a timely manner to incoming messages, preparing correspondence for and responding to inquiries by editors, associate editors, authors and reviewers, and forwarding pertinent correspondence to relevant staff.
Answers the general phone line for the journal.
As needed, provides technical support to all parties involved with the peer-review process.
Compiles and edits reports and related documents for weekly and/or biweekly journal boards of editors’ meetings.
Keeps and distributes notes for meetings with the Clinical Gastroenterology and Hepatology board of editors and/or editor-in-chief
General administrative tasks, such as scheduling appointments for staff and journal contributors.
Serve as the Publications Department’s super user for Editorial Manager, the manuscript management system for the AGA journals.
Coordinates several special sections of the journals, including maintaining updated tracking databases, processing submissions, facilitating the review of content, serving as liaison between editors and authors, preparing and submitting files for publication, and reviewing proofs.
Maintains issue line-ups for Clinical Gastroenterology and Hepatology and coordinates with the editor-in-chief and senior managing editor to review, finalize and select highlighted content for each issue.
Supports social media promotion of content and initiatives from Clinical Gastroenterology and Hepatology and other AGA journals.
Supports data collection, analysis and reporting for Clinical Gastroenterology and Hepatology and the other AGA journals.
Assumes other duties commensurate with this position as assigned.
QUALIFICATIONS:
Bachelor’s degree, preferably in English, journalism, science, or related field; or equivalent experience.
Minimum one year of experience in scholarly journals or periodical publishing required; experience using online manuscript management systems is preferred.
Excellent communication skills, proofreading, grammar and attention to detail required.
Word processing and general computer skills required, including proficiency in Microsoft Word, Outlook, Excel and PowerPoint.
