Summary/Objective ASAE helps associations, and the professionals who lead, manage, and work in them, transform society through the power of collaboration. We are looking for someone to join our team to manage the Executive Office. The position is responsible for managing day-to-day activities of the President & CEO’s office, as well as assisting with the operations for the ASAE Board of Directors.
Essential Functions

Acts as a first line of defense to the Executive Office, fielding emails and calls.
Manages the CEO’s calendar, travel arrangements, and expense reporting
Drafts communications, talking points and other documents for Executive Office and Executive Committee.
Manage and updates the governance calendar, inclusive of Foundation and Policy events throughout the year.
Manages and prepares schedules for the ASAE Board of Directors and Executive Committee during the ASAE Annual Meeting.
Provides administrative support to ASAE’s Board of Directors meetings each year. Works closely with the Chief, Public Policy and Governance Officer to prepare the agenda.
Plans and coordinates materials for board books through board portal and prepares minutes of the board meetings.
Works closely with the Marketing team regarding scripting and scheduling for the ASAE Annual Meeting and Exposition.
Works closely with the Meetings Team on schedule for CEO and Board Chair, including mandatory events and events to consider.
Works with the Chief Public Policy and Governance Office on the Leadership Committee from the initial call for nominations to the installation of the new board members, ensuring it is in line with by-law requirements.
Coordinates the meetings of the Leadership Team, prepares materials as necessary. Administers ongoing projects.
Supports President & CEO with their ongoing volunteer activities as requested.
Supports selection process, retreat and other event planning initiatives and serves as onsite contact during retreat and other events.
Works closely with HR on the creation of All-Staff Meeting calendar and agenda.
Works closely with IT to ensure Executive Office equipment is running smoothly.
Works closely with Finance to ensure the CEO has regular meetings and reporting from finance.
Works closely with Leadership Team outside of monthly calls on special projects as assigned.

Required Education and Experience
Undergraduate degree or equivalent combination of education, training and experience
Seven to ten years of increasing level and varied responsibility with C-Suite and board of directors.
Preferred Education and Experience Association experience is preferred, but not required.
Supervisory Responsibility This position does not have supervisory responsibilities.
Work Environment This position operates in a professional office environment and routinely uses standard office equipment. This position is eligible to participate in the work from home program.
Physical Demands
Prolonged periods sitting at a desk and working on a computer.
Must be able to lift up to 15 pounds at times.
Position Type and Expected Hours of Work This is a full-time position. Days and hours of work Monday through Friday, 8:30 a.m. to 5:00 p.m. with Friday being remote (Monday – Thursday are in office days). Weekend and evening work will likely be required - on occasion.
Travel Travel is expected to the Board of Directors and annual meetings, as well as possible site visits in conjunction with these meetings.
