Position Purpose: The Governance Manager and Executive Assistant will support the CEO, President, BOD and staff in the administration of AACE (c6/c3) and as needed and for assigned Committees and Task Forces. Supporting all aspects of governance-related matters, including management of communications and coordination of meetings of the AACE/ACE leadership. What You Do
Provide support to Officers and Board to include Executive Committee and Board meetings, Governance website and directory, governance portals, President emails, and the Policy Compendium.
Provide Executive Assistance and support to the CEO, President, AACE Executive Committee and Board of Directors, Board of Trustees, or other entities as deemed necessary.
Construct correspondence for the CEO, AACE Executive Committee, Board of Directors, and the College Board of Trustees.
Prepare follow-up correspondence for internal and external meetings as directed by the CEO.
Assist Director of Governance, as needed, with board minutes and action sheets.
Provide support to CEO, President and President-Elect in maintaining ongoing pending files for AACE Committee appointments including but not limited to preparation of thank you and appointment letters, annual Committee member evaluation, maintaining master database of all AACE Committees/Task Forces to include rosters, charges, appointment/thank you letters, and signed Intellectual Property Waivers and Disclosure Forms.
Make travel arrangements and appointments for the CEO and others as needed and maintain the CEO Outlook calendar.
Prepare correspondence, letters, reports, and other communications as required by the CEO.
Manage the Nominating Committee process, ensuring the development of a timeline that aligns with organizational goals and deadlines. Coordinate and schedule meetings and provide necessary resources to support the committee's decision-making process. Ensure all members are informed of their responsibilities, manage communications, and track progress.
Manage and oversee the Annual Business Meeting to include reports, memorandums to membership and Bylaws amendments.
Manage and maintain the database, Portal, and Listserv for AACE Executive Committee and AACE Board of Directors.
Provide support for Annual Meeting and other AACE meetings as needed. Develop meeting schedules for President and CEO.
Maintain Executive office files.
Other duties as assigned.
Who You Are
College Degree and/or equivalent work-related experience preferred
Minimum four (4) years of Association Governance experience; or a combination of training, education, and experience that provides the required knowledge and abilities.
Strong organizational skills and a proactive approach that reflects the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
Demonstrates effective problem-solving, good judgment and decision-making capability.
Effective interpersonal skills and professionalism with the ability to build positive relationships and deliver the highest level of service to stakeholders, including staff, board members and external partners and customers.
Expert level written, editing and verbal communication skills.
Highly resourceful team-player, with the ability to be extremely effective independently with minimal supervision.
Possesses project management skills, including the ability to streamline and improve processes.
Proven ability to handle confidential information with discretion and professionalism.
Demonstrated ability to achieve high performance goals and meet deadlines in a fast-paced environment.
Advanced knowledge of Windows Operating Systems, Microsoft applications, databases, and internet communications.
Must be willing to work outside of normal working hours including evenings and weekends, and travel as needed.
