The International Association for Dental, Oral, and Craniofacial Research (IADR) and American Association for Dental, Oral, and Craniofacial Research (AADOCR) seek a creative, flexible, detail-oriented Meetings & Exhibits Manager. This position is well suited for a mission driven, dynamic, and highly productive professional.
This position is designated as management-level “exempt” under the Fair Labor Standards Act.
IADR/AADOCR is a hybrid office model with 50% of the time in the Alexandria, VA office and 50% of the time remote.
Responsibilities
Manage RFP process to select meeting vendors, examples include General Services Contractor, shipping, security, childcare
Manage exhibition and exhibitors/sponsors on site (from set-up to tear-down)
Manage hotel contracts for Annual Meeting and/or General Session in conjunction with housing vendor or PCO.
Prepare specifications on BEOs for assigned events
Drive revenue through exhibition and sponsorship sales. Develop packages to expand opportunities for exhibitors and sponsors.
Support budget management by assisting with the review of event budgets, processing select payments and reimbursements, and monitoring event-related expenses.
Staff liaison for all affiliate events at Annual Meeting and/or General Session
Support ancillary events (outside of Annual Meeting and General Session), logistics, catering, and budget reconciliation.
In conjunction with the Marketing department develop communication through the website, email, social media to promote the Annual Meeting and/or General Session.
Requirements
Minimum of three years of experience in meeting events. Experience in a non-profit scientific, medical, dental, or professional society environment preferred.
Excellent organizational, verbal, written, and interpersonal skills with demonstrated effectiveness working in a team environment.
Available for domestic and international travel with a current passport.
Must be based in the DMV region and work approximately 50% of each week in Alexandria, Virginia Headquarters.
All employees must have current CDC recommended COVID-19 vaccinations unless a medical or religious exemption.
Bachelor’s degree required.
CEM or CMP preferred.
