Position Overview
Experienced, senior-level assistant to (i) provide day-to-day support to the Society President & CEO, (ii) administration for the Board of Directors and Board committees, and (iii) other office related support activities as directed. Responsibilities include, but are not limited to:
Maintaining CEO’s calendar, scheduling meetings, assisting with committees and board logistics and administration including agendas and minutes.
Making CEO travel arrangements and creating itineraries, preparing, reviewing, submitting and tracking expense reports, proofreading emails and correspondence.
With CEO, identifying, reviewing and tracking key internal/external deadlines to facilitate a timely response.
Coordinating logistics and prep materials for CEO with respect to Society speaking or representative engagements (handling hotel, airline, car rental, expense reports, etc.).
Developing relationships with peers of key constituents to aid in the successful planning and execution of internal and external CEO commitments.
Acting as administrative liaison to the Society’s Board and committees, distributing related communications including meeting materials and logistics information, and timely fielding of inquiries.
Supporting the Board nominations and governance processes (evaluations, surveys, bylaws proposals, annual meeting and voting logistics, etc.).
Organizing and maintaining meeting and ancillary records pertaining to the Board and other leadership meetings, as requested.
Providing support for National programs, as requested and as time permits.
Providing administrative support for National office activities, including policy and advocacy matters and working with the Society’s Operational lead, as time permits.
This position reports directly to the CEO but will work closely with other Society leaders and all staff.
Qualifications

Be able to effectively plan work activities and manage to tight deadlines.

Appropriately represent the Society and CEO to Society members and the public at large.
Education and Experience
3+ years of experience supporting a corporate or non-profit executive and boards.
College degree. B.S or B.A degree in a business-related field of study required.
Proficiency in Microsoft Word, Excel, PowerPoint, and be technology oriented.
Familiarity with and prior use of a board portal is preferred (the Society uses Boardvantage).
Working Environment
We currently follow a hybrid work structure. Given the CEO interaction, we expect the postholder to work on site in our New York City office four days a week.
Some travel within the U.S. to attend or administratively support Society conferences and CEO related meetings is required.
