Chief of Staff supports and coordinates key initiatives for the CEO, focusing on executive assistance, project coordination, and operational effectiveness. Key Responsibilities
Executive Support & Project Coordination (60%)
Support the CEO’s strategic initiatives and provide comprehensive executive assistance
Manage and triage CEO’s email communications to ensure timely responses
Document and track CEO commitments, action items, and follow-through
Prepare meeting notes and identify key action items
Coordinate and execute special projects and cross-functional initiatives
Prepare and organize information for decision-making
Assist with organizational communication efforts
Support proposal development process, including drafting and coordination
Maintain database of proposal templates and past submissions
Strategic Initiative Support (20%)
Track progress of strategic initiatives and provide regular updates
Coordinate cross-departmental projects
Support development and refinement of organizational processes
Assist in research and analysis for new opportunities
Help identify and track strategic partnerships
Support creation of presentations and reports
Maintain project documentation and tracking systems
Governance Support (20%)
Coordinate the preparation of board meetings
Provide administrative support for committees
Monitor strategic plan implementation
Maintain governance documentation
Prepare board materials and track follow-up items
Support confidential board communications
Document and track board decisions and action items
Ensure timely follow-through on board-related commitments

Required Qualifications
Bachelor’s degree
3-5 years of professional experience
Strong organizational and follow-through abilities
Exceptional documentation and note-taking skills
Excellent written and verbal communication skills
Project coordination experience
Experience with project management tools
Proficiency with modern business and AI tools
Demonstrated ability to maintain confidentiality
Demonstrated ability to respond to changing priorities
Self-directed with ability to execute projects with minimal supervision
Proficiency in data analysis and reporting
Preferred Qualifications
Experience in nonprofit organizations
Knowledge of association management
Familiarity with healthcare/pharmacy sector
Experience supporting boards or committees
Background in executive support and/or project management
Lives in the DC metro area
