Job Summary
We’re a membership organization, which means people matter—our members, our staff, and our partners. We need someone who’s tech-savvy, people-friendly, and has a lighthearted mindset to keep us running, our office organized, and our membership experience seamless.
This job tracks and manages data for NPCA’s Plant Certification program; Plant Evaluation program; Personnel Certification program, and Product [BC1] Listing program, including managing department timelines and logistics. Provides administrative support.
Responsibilities:[KV2] [3] [KV4]
· Provides daily tracking and data management of the certification and pre-assessment programs; including record keeping; serves as coordinator for the reporting, evaluation and processes of the plant certification program, including coordination with inspection agencies and members. Works with the VP of Technical Services to maintain accurate contact lists for Departments of Transportation; specifiers, and regulators, etc.
· Provides timely and accurate reports on status of certification; identifies areas for improvement and makes appropriate recommendations to supervisor.
· Maintains operations procedures for certification programs; develops new procedures, as required, for new programs and provides recommendations on how to improve the programs for our members and staff efficiency.[BC5] [6] [BC7]
· Answer incoming calls, assist members with inquiries, and resolve issues in a timely and professional manner, provide information about company programs, benefits, and services.
Department and Member Support
· Provides administrative support to all departmental staff, including administrative support of Board and product committees managed by department staff.
· Production of committee material templates and coordination with Finance on report-outs of committee information.
· Support meetings team in the preparation and after action review of member events and meetings.
· Support research-required inquiries.
· Organizes and Maintains files and references.
· Work closely with other departments to facilitate solutions and enhance the member experience.
· Travel, as necessary, to NPCA conventions and conferences.
· Work with team on new ideas for certification and membership.
· Other duties as assigned

Overall, success in this role will be an organized team player who can ensure that our member data is up-to-date and organized and that the members have a reliable person at HQ to keep them informed about the plant certification program.

• Ensuring that NPCA members are informed about the plant certification process
• The information is accurate, up-to-date and user friendly
Key Qualifications and Experience
• Superb administrative skills in file management, records-keeping and other clerical tasks.
• Willingness to Travel: Must be available for occasional overnight travel within the U.S. and Canada.
• Strong verbal and written communication skills.
• Excellent computer skills and the desire to work in a paperless environment
• A sense of humor
