The Chapter Administrator is responsible for the daily and ongoing activities in support of the chapter as defined by the Board and Executive Director. Primary duties will include: administer multiple initiatives and complete various ad hoc projects in alignment with the organization’s mission and strategic plan; coordinate communications and marketing activities; plan and assist in event planning and execution; maintain effective working relationships with various committees and volunteer members; manage multiple agendas; facilitate high-quality customer service; and ensure quality promotion of chapter programs and services.
Successful outcomes will include high member satisfaction and achievement of annual targets for meeting attendance and membership growth, retention, and participation along with revenue goals.
Responsibilities include management of highly sensitive matters. Discretion, mature judgment, and confidentiality are essential. Because of the complex and variable nature of the position, duties and responsibilities are both broad and changeable according to the situation and needs of ACG, and the assignments made by the Executive Director.
This position will require attending events outside of normal business hours and limited domestic travel (1-3 times/year).
DUTIES AND RESPONSIBILITIES are assigned at the discretion of the Executive Director, ACG National Capital. Tasks and duties will vary and may be assigned and changed at any time. Specific duties may include the following:
Marketing and Communications
External and internal communications including regular email marketing campaigns (creation and distribution) as well as the maintenance of the chapter website and social media platforms.
Assist in the development and management of marketing efforts to achieve revenue targets and attendance goals for all chapter programs, products, and services.
Monitor data analytics to identify needs and opportunities for improvement
Adhere to strict brand standards and style guidelines.
Promote ACG through partners, sponsors, media outlets and networks
Member Relations and Committee Management:
Manage and support chapter committees, including Membership, Programs, Marketing, NextGen and others as assigned.
Assist chapter leaders in evaluating member needs and adjusting benefits and program offerings accordingly.
Work closely with committee chairs and members facilitating the completion of goals and projects
Provide and ensure high quality service to members.
Supervise generation of monthly and year-end membership reports and provide trends analysis to aid in planning and chapter development.
Manage the association database to ensure record consistency, accurate updates, proper and valid changes to all records.
Assist in developing and executing member recruitment, retention strategies and the onboarding of new members
Event Planning and Logistics
Assist in development and management of all chapter events, including event preparation.
Create event marketing materials
Support efforts including registration processing, onsite management and meeting preparation and follow up.
Work on projects to support all programs and their corresponding committees including special events.
Assist in maintaining a comprehensive calendar of meetings and events to include local, regional, and national ACG schedules.
Vendor and Sponsor Management
Assist or serve as contact on all logistical aspects of meetings and events.
Support sponsor communication and customer service. Assist in generating revenue for chapter sponsorships and event sponsorships.
QUALIFICATIONS:
To perform this job successfully an individual must maintain the confidence and trust of the Executive Director, ACG Headquarters staff, members, and volunteer leaders. Other essential qualifications include the ability to work effectively in a fast paced and collaborative environment. The ideal candidate is a motivated self-starter, efficient, and detail-oriented with strong organizational skills, capable of multitasking and meeting tight deadlines with a minimal amount of supervision and a high degree of accuracy.
As a representative to members and volunteer leaders the individual must share ACG’s vision and expectations for organizational culture and service excellence. The requirements listed below are representative of the knowledge, skill, and/or ability required. To perform this job successfully, an individual must display exceptional oral and written communication skills and demonstrate mature and professional relationship skills.
Must be comfortable working with multiple Chapter leaders and key stakeholders. Must be comfortable being the face of the organization, ability to lead if the Executive Director is unavailable, and sociable in any situation.
EDUCATION and EXPERIENCE:
Bachelor’s degree
3-5 years of association membership, event management/hospitality and/or office experience
1-2 years of experience in managing virtual and in-person meetings and events
Proven track of working with members, volunteer leaders, committees and/or clients
Ability to identify and implement strategies while maintaining quality and accuracy
Demonstrated project management, organizational, analytical and leadership skills
Proven abilities to write, edit and deliver presentations and materials to senior-level audiences.
LANGUAGE ABILITY:
Ability to read, analyze and interpret membership information, develop programs, and effectively manage common inquiries or complaints from members, media, and the public. Proven abilities to write, edit and deliver presentations to senior-level audiences.
COMPUTER SKILLS:
Microsoft Office (Excel, Outlook, MS Word, PowerPoint, Teams, SharePoint), social media applications (LinkedIn) Canva, Adobe Acrobat, Photoshop, web-publishing systems, AMS or CRM software applications, marketing platform (Higher Logic Real Magnet preferred)
SUPERVISORY RESPONSIBILITIES:
Supervise contract service providers and temporary staff (as needed).
WORK ENVIRONMENT:
Work from office in the Tysons area and from home; computer provided. This position requires someone who must be able and willing to travel around DC metro region. May be required to work more hours than normal during a 35-hour week depending on workload and deadline requirements.
PHYSICAL DEMANDS:
This position requires the ability to perform physical activities connected to transporting event supplies and step up/take down as required such as lifting, carrying, bending, and standing for extended periods.
