The Program Manager provides timely customer service and assistance to State Association representatives, NGAUS membership and marketing department, and other staff as needed. The Program Manager is responsible for performing national and state data entry, database quality control, and regular maintenance and upgrades of Association Management Software (AMS). The Program Manager is responsible for generating regular membership queries and reports.
Association Management Software experience is required.
Duties and Responsibilities include the following. Other duties may be assigned.
Data Management
Responsible for performing data entry and data hygiene of information received from members, staff, and state association representatives and ensures accuracy and completeness of reported data.
Reviews discrepancies in data received, requests clarification, or advises supervisor of issues related to data.
Performs routine quality control on the database and generates data queries and reports as required to assist with events, targeted marketing, and by request
Creates queries for data retrieval and provides regular membership analytics to membership and marketing team and other staff as needed
Maintains and performs regular upgrades on Association Management Software
Performs routine maintenance tasks related to software or file technical assistance requests as necessary.
Assists state associations with new member entries and other database issues as they may arise
Completes verification of funds with accounting department and reconciles discrepancies between accounting and the membership software
Prepares and reconciles year-end reports for accounting/auditors
Customer Service
Provides customer service to NGAUS membership responding to a variety of inquiries and requests via email and phone.
Provides information assurance and general database and customer service in support to states.
Communicates with all state association representatives concerning dues collection.
Provides daily assistance in use of association management software via email and telephone.
Provides magazine mailing file.
Training and Support
Assists in training personnel to include NGAUS employees, state executive directors, and membership points of contact on association management software.
Provides support for National Guard Association of the United States annual conference including calculating delegates, state association attendee registration, and verification of membership dues of those chosen to serve as delegates.
Gathers necessary materials and information for meeting and training opportunities.
Administrative Tasks
Communicates and manages the rebate and other incentive programs including key deadlines, criteria, reconciliation of dues, and reporting to superiors at the close of the program
Performs filing and copying
Participates in state visits and after-hours functions

Computer Skills:
To perform this job successfully, an individual should have knowledge of Microsoft Word, Microsoft Excel, Microsoft Outlook, and association management software.
Education/Experience:
Bachelor's degree (B. A. / B. S.) from four-year college or university; and at least one year of related experience and/or training; or equivalent combination of education and experience.

Position Type and Expected Hours of Work:
This is a full-time position. Days and hours of work are Monday through Friday, 8:00 a.m. to 5 p.m.
