Are you an organized, detail-oriented professional with a passion for events and sales? We’re looking for an Event Sales Administrator to join our dynamic team!
About the Role:
As the Event Sales Administrator, you’ll play a vital support role in our Events Department, assisting with sales administration for exhibit space and sponsorship inventory across our international conventions, conferences, and advocacy events. You’ll work closely with our Sales & Client Operations Manager to ensure seamless communication with exhibitors and sponsors while managing contracts, invoicing, reporting, and on-site sales efforts.
Reports to: Director of Meetings & Events
What You’ll Do:
Support Sales & Client Operations Manager: Assist in managing exhibitor and sponsor relationships, serving as a backup point of contact when needed.
Sales Process Assistance: Answer inquiries from prospective and existing clients, process contracts, and initiate invoicing for exhibit space and sponsorship sales.
Financial Processing & Tracking: Manage payments, create deposit slips, complete exhibitor forms, and work with the accounting team to ensure payments are correctly allocated.
Sales Performance Monitoring: Track sales progress and generate weekly reports to keep the team informed.
Payment Collections & Deadlines: Communicate with clients regarding payment deadlines, follow up on outstanding balances, and assist in collections.
Membership Coordination: Work with the membership team to identify non-partner customers for outreach and ensure correct pricing based on partner status.
On-Site Exhibit Space Sales: Assist in planning and executing exhibit space renewal sales at selected events. This role requires 3-4 trips per year, with event-related travel generally lasting 3-5 days per trip.
Event Logistics Support: Help with packing and shipping materials for competitive events where our organization has a booth.
Outbound Sales & Marketing Support: Assist with email outreach to prospective exhibitors and sponsors.
Database & Software Management: Utilize AOC’s association management software (Impexium) and exhibit management software (MapYourShow) to track customer data, update records, manage invoicing, and monitor sales performance.
