This is a hybrid position. Candidates must reside within a 25-mile radius of our home office in Lombard, IL and be willing work in office on occasion.
The Meeting Planner is responsible for the successful planning and execution of assigned events. The position will support the Director and team members with additional responsibilities and meetings as assigned. This is a highly visible position that interacts with internal staff, members, volunteers and represents the organization to the hospitality industry. The position requires a highly self-motivated individual who possesses excellent project management, organizational, communication, and customer service skills. The position requires travel to meetings/events and professional development training.
Key Responsibilities:
Assist in planning and organizing meetings and events, including logistics, venue selection, and catering.
Help maintain event timelines and budgets.
Communicate with vendors, clients, and attendees to ensure smooth operations.
Prepare materials and documents for meetings and events.
Assist with on-site coordination and support during events.
Conduct post-event evaluations and gather feedback for improvement.
Assist in running virtual meetings and webinars.

Qualifications:
Strong organizational skills and attention to detail.
3-5 years of experience in meeting planning including virtual meetings/webinars, logistical planning, food and beverage and on-site management.
Excellent communication and interpersonal skills.
Ability to travel as required.
Ability to multitask and manage time effectively.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
Willingness to learn and adapt in a fast-paced environment.
Willingness to work extended hours during high periods to meet deadlines.
