The Programs Coordinator will work closely with the ACC team to provide support for various ACC programs and initiatives. The ideal candidate will have strong organizational skills, excellent communication abilities, and the capacity to multitask effectively in a dynamic environment. Experience working in an association setting for 2-3 years is a required.
KEY RESPONSIBILITIES
General Administrative Support
Oversee the ACC Admin and Info email accounts ensuring timely and professional responses to general inquiries, and forwarding them to appropriate staff members.
Committee Support
Collate and distribute meeting schedules, agendas, and other materials or supplies needed to facilitate the board and the 10 ACC committee meetings.
Schedule ACC yearly committee calls on the ACC calendar; create Zoom links; register attendees as relevant for committee webinars.
Maintain and update committee member lists in Impexium, ACC’s membership management software.
Symposium Coordination
Help with the various administrative tasks of Symposium planning and execution.
Update and maintain the Teams site for Symposium planning. Create and maintain an updated agenda/program matrix to support marketing efforts.
Perform other Symposium-related duties as assigned.
Advertising Support
Solicit and manage advertisers for the ACC Weekly Newsletter and ACC Website:
Work with Membership to incorporate Corporate Sponsorship Package Sponsors into ACC Weekly Ads.
Collaborate with Marketing to ensure fulfillment of advertising in ACC’s Newsletter.
Communicate with members & non-members seeking advertising, and liaise with accounting to deliver invoices and payments.
Update the ACC Employment Page and collaborate with Marketing to post advertising on ACC Weekly and social media.
Assist with drafting marketing content for communications and campaigns.
Membership Support
Help coordinate the logistics and tools for regular member outreach including surveys, phone calls, and other communication efforts.
Help administer Corporate Sponsor Packages, track company benefits (e.g., extra contacts, extra service listings, training seats), and monitor usage.
Technology and Onsite Conference Support
Stay informed of IT and AMS needs and issues, providing website management support.
Provide onsite conference and meeting support, including registration, badge creation, and customer service support.
QUALIFICATIONS
Bachelor’s degree preferred.
Association, non-profit, or AMC experience is strongly preferred, with 2+ years of association experience required.
1-3 years of workforce experience, including internships.
Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint); database management experience is a plus.
Exceptional organizational skills and attention to detail.
Strong verbal and written communication skills.
Ability to multitask and manage competing priorities effectively.
Interest in learning and gaining proficiency in new skills.
Commitment to providing outstanding customer service.
WORK ENVIRONMENT
This remote position requires a proactive individual who thrives in a fast-paced environment and can balance multiple responsibilities efficiently. The successful candidate will be in the DMV area and play a pivotal role in providing administrative support for ACC programs, events, and Initiatives.
