POSITION REPORTS TO: Executive Director
DIRECT REPORTS: None EXEMPT/NON-EXEMPT EMPLOYEE STATUS: Exempt (Minimum 37.5 hours/week)
GENERAL SUMMARY:
This position works closely with the Executive Director to ensure successful planning for the implementation of the Fellows Conference, Advocacy Conference, meetings at the American College of Rheumatology, and various board meetings. In addition, the position implements activities that support the association’s strategic plan, manages administrative duties related to finance and day-to-day operations, and liaises with committees as assigned to provide assistance and support.
POSITION RESPONSIBILITIES (Minimum of 37.5 hours/week): Responsibilities include, but are not limited to:
Development and maintenance of administrative timelines in consultation with the Executive Director, including relevant CSRO related activities.
Serve as staff liaison to CSRO appointed Committees. Including but not limited to the CSRO Conferences committee.
Management and oversight of the Fellows Conference, Advocacy Conference, meetings at the American College of Rheumatology, state society member meetings, and the various board meetings held throughout the year. This includes, but is not limited to the following:
Working with Executive Director to develop and manage meeting budgets;
Working with the Communications & Membership Manager in assistance to develop meeting marketing strategies;
Assist with development of educational programs as necessary, working with Program Committee and Hart Health Strategies to schedule sessions and assign meeting space;
Management of speaker invitations, confirmation, requirements, and reimbursement processes in accordance with CSRO policies;
Oversight of registration for all meetings;
Management of stipend award process, including stipend payments to conference attendees;
Management of onsite meeting logistics, including catering and AV requirements;
Onsite management of sponsors/exhibitors if applicable;
Contracting outside vendors for exhibition decorating, audio-visual, catering, security, and freight services;
Shipping and inventory of meeting materials;
Facilitate preparation, distribution and tabulation of program evaluations;
Support virtual meetings and events by managing registration, sending reminder emails to attendees, scheduling prep calls with speakers, and other activities as needed.
Facilitate and track all email advocacy alerts and other template messages as needed.
Support all financial processes, including credit card reconciliation, invoice receipt and payment, and processing sponsorship and corporate membership payments.
Support all administrative needs, including drafting minutes of the Board of Directors and Executive Committee, scheduling committee meetings as needed, tracking and facilitating corporate member benefits, and supporting online sponsorship and grant applications.
Perform duties as required to assist the Executive Director in implementing the Strategic Plan developed by the Board of Directors.
Other duties as assigned.
AMOUNT OF TRAVEL REQUIRED:
Approximately 4-6 weeks per year (cumulative), mainly during weekends.
EDUCATION/EXPERIENCE REQUIREMENTS:
Bachelor’s degree preferred.
Experience in meeting management and planning desired.
Detail-oriented with outstanding organizational and critical thinking skills.
Exceptional written and verbal communication skills with an emphasis on a high-level of customer service.
Demonstrated ability to work independently and in a small team environment.
Ability to prioritize varied assignments and handle multiple projects.
Proficiency in Word, Excel, Outlook and PowerPoint.
*This position is located in downtown Milwaukee, WI and a minimum of two days onsite in the office (including Wednesday as an all-staff-in-office day) are a requirement of the role.
