Position Summary: ICVA is seeking an Assessment Program Coordinator who will be an integral member of the ICVA team. This position will assist the Operations Team by handling the day-to-day tasks in support of ICVA’s assessment programs. This position will interface with candidates, academic institutions, regulatory agencies, and vendors.
The Assessment Program Coordinator will report to the Director of Program Operations.
Essential Functions and Responsibilities:
Process incoming applications and eligibilities for the suite of ICVA assessments.
Work with schools and jurisdictions to obtain rosters of eligible individuals.
Coordinate with internal team and test vendors to determine schedules for routine test administrations
Provide eligibility information (school, roster, individual) to test vendors in specified format.
Respond to routine inquiries to all exam admin and eligibility following ICVA’s standards and FAQ’s
Ensure that all candidate records are recorded in the ICVA database.
Maintain accurate and up-to-date records of candidate information within the ICVA database.
Coordinate with schools and licensing boards regarding exam administration, eligibility, and score reporting.
Process candidate demographic changes, updating the ICVA database, and notifying the ICVA exam vendor of these changes.
Provide consistent and timely follow-up on all outstanding applications.
Identify and resolve discrepancies in information and supporting documentation.
Oversee the appeals process for candidates seeking waivers who have exceeded the attempt limit and candidates who have had test administration incidents.
Serve as a point of contact for candidates and staff, addressing questions about the exam process and providing necessary support.
Communicate with test vendor(s) about upcoming administrations
Provide exam support for sites administering remote proctored assessments.
Creating assessment-related reports to share candidate performance data.
Assist in the documentation of processes and procedures.
Ensure the privacy and confidentiality of all candidates.
Ability to travel out of the area and overnight may be expected throughout the year.
Performs other duties as assigned.

Expected Hours of Work: This is a full-time regular position. Days and hours of work are Monday through Friday, completing a full 37.5 hour work week (7.5 hours per day). There may be occasional evening and weekend work as job duties or projects require.
Work Environment: This position works remotely, or in a professional office environment. This position routinely uses standard office equipment such as computers, phones, and copiers.
Qualifications, Experiences and Skills:
Bachelor’s degree required.
Experience in working with non-profit organizations or for assessment organizations or companies.
Skilled with all Microsoft Office programs, including PowerPoint.
Prioritize multiple deadlines in a timely and efficient manner. Well organized, detail oriented and highly professional.
Excellent verbal and written communication skills.
Ability to act with integrity, professionalism, and confidentiality.
