POSITION SUMMARY:
The overall role of the Manager, Conference and Events is to provide support for and implementation of a variety of tasks in the execution of PCA meetings and events (in-person and/or virtual) and to support PCA members. Primarily responsible for assisting in the overall coordination, execution, and completion of registration, exhibits, and housing for all PCA meetings and events, the Manager, Conference and Events serves as the first line of contact for member meeting and event inquiries. The Manager, Conference and Events will work closely with staff across the organization, members, vendors, and external stakeholders. The role requires someone who has strong self-direction, is high performing, is enthusiastic, demonstrates a positive attitude, and provides superior customer service. The Manager, Conference and Events will assist with everything meeting/event related from A to Z. This is a great opportunity to build on your meeting and event knowledge and experience.
KEY RESPONSIBILITIES:
- Creates and updates meeting registration pages in the event management system.
- Reviews and manages meeting registrations on an ongoing basis, checks for accuracy and processes financial needs as required.
- Communicates via phone and email with registrants daily and assists them with their meeting/event needs.
- Creates name badges and tent cards for meetings when needed.
- Serves as the liaison between PCA and hotel room coordinator staff before, during, and after meetings.
- Leads registration onsite at the annual cement conference and oversees volunteers with onsite registration duties.
- Assists with VIP/Speaker's registration, housing, and car service as needed.
- Keeps inventory of and sources meeting supplies.
- Reviews and proofs meeting materials.
- Writes and sends correspondence and invitations.
- Assists international registrants/exhibitors with Visa letters for national cement conference.
- Produces meeting/event reports as needed.
- Coordinates meeting shipments and packing.
- Archives meeting materials.
- Gathers post-meeting historical information to populate history reporting.
- Assists with conducting meeting/event operational and financial closing procedures.
- Support PCA's internal and external meetings, including those for the CEO, senior staff and member visits, in-person and virtual.
- Develop and maintain excellent communication with all members of the PCA staff involved in the event.
- Other duties as assigned.
REQUIRED QUALIFICATIONS AND EXPERIENCE:
- Three to five years of registration experience working at a non-profit or association is preferred; or in a meeting, operational, or administrative role
- Bachelor's degree preferred. A combination of education, certification, and work experience will be considered.
- Proficiency in Microsoft Office, and particularly Excel, required
- Experience working with meeting registration software, project management software, databases and/or an Association Management System (AMS) is preferred. Knowledge of Swoogo/Impexium is helpful
- High level of personal accountability and ownership of work and assignments.
- Demonstrated ability to effectively communicate, having solid written and oral communications skills.
- Detail-oriented, organized, and able to successfully direct multiple projects through completion while accelerating business results.
- Must be able to manage multiple projects; separating mission critical from the non-strategic; with minimal supervision.
- A multi-tasker, with the ability to deal with issues in a professional manner.
- Familiarity with or a strong interest in learning about the cement or construction industry, trade associations, nonprofits, and/or sustainability is a plus.

- Ability to lift objects of up to 30 lbs.
- Having schedule flexibility for overtime and weekend work is required during the heavy conference season and onsite
- Required to occasionally travel domestically to meetings, as requested
REPORTING RELATIONSHIPS:
Reports to Senior Manager, Conference and Events
SALARY AND BENEFITS:
Salary range is $70,000-$87,000 based on experience. This position is exempt and fully eligible for PCA employee benefits including 401(k), health and other insurances, paid time off, and paid holidays in accordance with PCA policy.
ADDITIONAL NOTES:
Travel approximately 3-5 times per calendar year. Includes some weekends and evening work hours.
