The Administrative Specialist will manage the administrative support for the Association, providing critical assistance to the whole organization on programmatic, event-related, operational, and administrative responsibilities. A successful candidate will be a team player, must also be able to work independently, and who manages their work and time effectively. This is a dynamic role that serves the broad range of activities that support the 700+ member Association including member operations, event management, communications, and general administration. This is a full-time position reporting to the CEO.
Location: Washington, DC, Maryland, Virginia (note that AIEA is currently a fully-remote organization; however, some travel, event attendance, and in-person interactions are required).
Travel: Less than 10%
ESSENTIAL FUNCTIONS
Administrative & Operational Support
Perform general administrative duties in support of the CEO and Association such as scheduling, calendar management, data entry, receiving and distributing mail, and financial administration, such as paying invoices and processing expense reports.
Virtual and In-person Event Support
Support the successful planning and execution of AIEA events, including the Annual Conference, thematic forums, virtual workshops, Town Hall meetings, webinars, and other virtual or in-person gatherings. This includes supporting associated technology, managing invitations, liaising with speakers and venues, and overseeing event materials.
Programs & Services Support
Support the successful and efficient administration of AIEA programs and services. This includes managing incoming applications, supporting program logistics, liaising with participants and presenters, and managing program evaluations.
Communications Support
Assist in the effective and timely AIEA external communications, including managing and maintaining portions of the website, supporting social media campaigns, updating listservs and Board rosters, and managing inboxes.
Other duties as assigned.
QUALIFICATIONS
Associate’s degree with at least two years of administrative experience, Bachelor’s degree, or equivalent combination of education and experience.
Interest and experience in international education preferred, but not required.
KNOWLEDGE & SKILLS
Excellent organizational skills and attention to detail.
Strong customer service, interpersonal, and communication skills.
High level of professionalism and a proactive, problem-solving attitude.
Must be able to work independently and manage work and time effectively.
Ability to learn new systems in a fast-paced working environment.
Proficiency in Microsoft Office, virtual conferencing technology (e.g. Zoom, Google Meet, Teams), and online scheduling tools (e.g. Doodle).
Understanding of basic tools, such as printers, copiers, and scanners.
