ABOUT THE POSITION

The Office Logistics Manager is responsible for overseeing the daily operations of the office and managing MCAA physical assets and meeting and event shipments. This role also includes supporting the production of printed materials and ensuring all event-related shipments are timely and accurate. The ideal candidate is highly organized, detail-oriented, and can effectively manage multiple logistics and production tasks to support seamless office and event operations.

SPECIFIC JOB RESPONSIBILITIES

Office Logistics and Shipment Management

• Coordinate and manage all incoming and outgoing shipments, including office supplies, equipment, and materials.
• Maintain inventory of office supplies, reorder as necessary, and ensure resources are available to support day-to-day operations.
• Manage MCAA physical assets stored onsite. Ensuring safe physical storage and ensuring proper working condition of all equipment.
• Serve as the point of contact for vendors and suppliers, handling inquiries, negotiating rates, and managing deliveries.

Event and Meeting Logistics

• Coordinate the shipping of materials for events, ensuring that all items are packed, labeled, and shipped accurately and on time.
• Track shipments to and from event locations, coordinating with event staff to verify receipt and setup.
• Develop and manage timelines for event logistics to ensure all items arrive at their destination according to schedule.

Print Production Support

• Coordinate the production of printed materials, including brochures, signage, handouts, and any other event-related documents along side internal communications team.
• Coordinate with printing vendors to ensure high-quality materials are produced within budget and on time.
• Manage proofing and approval processes for all printed materials, maintaining quality control.

Collaboration and Coordination

• Collaborate with the Meetings & Events team, Communications Team, and other departments to ensure alignment on print production and logistical needs.
• Support on-site event logistics when necessary, assisting with setup, breakdown, and troubleshooting as needed.
• Communicate regularly with team members about shipping schedules, production timelines, and any potential delays or issues.

QUALIFICATIONS

Education:

• Associate’s or bachelor’s degree in business administration, Logistics, Communications, or a related field.

Experience:

• 3+ years in logistics, office management, event coordination, or a related field, with experience handling shipments and print production.

Technical Skills:

• Proficiency in logistics management software and shipping systems.
• Familiarity with print production processes and vendor management.
• Strong Microsoft Office skills and basic project management tools.

Soft Skills:

• Excellent organizational and time-management abilities, with strong attention to detail.
• Strong communication skills, capable of coordinating across departments and with external vendors.
• Problem-solving skills and flexibility, with a proactive approach to logistics challenges and tight deadlines.
