We’re seeking a proactive, detail-oriented Membership & Meetings Specialist (MMS) to join our fast-paced association management team. In this role, you’ll support a portfolio of nonprofit professional associations by driving efficient operations in membership, event registration, and administrative support.
This full-time position is based on a Monday–Friday, 8:30 a.m. to 5:00 p.m. schedule and is eligible for a hybrid and full remote work arrangement. Some overnight travel is required to support association conferences and meetings.
Key Responsibilities
Serve as a first point of contact for association members—responding to phone and email inquiries, providing top-tier service, and promoting member benefits across multiple client organizations.
Develop a working knowledge of each client’s profession to effectively articulate the value of membership and services.
Maintain and update online membership databases: assist members with login access, troubleshoot platform issues, and ensure data accuracy.
Analyze prospective member data, compile outreach lists, and manage mailing list rentals.
Build and manage membership, event registration, and donation forms (digital and paper); track submissions, process invoices, and generate reports.
Prepare and assemble materials for conferences and events.
Attend client events and manage on-site logistics such as registration check-in and vendor support.
Collaborate with internal teams to implement strategies for membership growth and retention.
Assist in creating and distributing email campaigns related to marketing, invoicing, and member engagement.
What You Bring
Outstanding communication skills—both written and verbal. Three to four years of related membership experience. Exceptional customer service orientation with a collaborative, can-do attitude. Strong attention to detail and the ability to work independently while managing multiple priorities. Proven data entry accuracy and tech-savviness. Proficiency in Microsoft Office Suite (Word, Excel, Outlook, etc.). Experience with association management systems (MemberClicks Professional or similar) is a plus.
