Position Summary

The Associate, Meetings and Education, supports the planning, coordination, and execution of high- quality virtual and in-person meetings, conferences, webinars, and educational programming for the Medical Professional Liability Association. This role is responsible for pre-event logistics, onsite operations, registration management, sponsorship fulfillment, continuing education (CE) documentation, and digital platform support. The Associate plays a key role in delivering exceptional attendee experiences and maintaining high standards for educational and logistical execution.

Responsibilities

Event & Meeting Logistics

• Coordinate onsite and virtual logistics including room setup, audiovisual, catering, registration, signage, and materials.
• Monitor hotel room blocks and provide reports on attrition, rooming lists, and cut-off dates.
• Generate name badges, tent cards, signage, and meeting materials.
• Prepare shipping labels, packing checklists, and box content summaries; pack and ship materials as needed.

Registration & Attendee Support

• Manage event registration setup, pricing, discounts, customer service, and quality control.
• Respond to attendee inquiries and troubleshoot registration issues.
• Generate reports for attendee lists, special events, and post-event evaluations.

Sponsor & Faculty Coordination

• Fulfill sponsorship benefits including production of signage, slideshows, and award materials.
• Assist with faculty information collection and planning timelines in collaboration with the Manager, Education.

Continuing Education Support

• Support CE compliance activities including surveys, certificate generation, and attendee record tracking.
• Respond to member questions about CE credit and learning management system (LMS) content.

Webinar & LMS Operations

• Assist in the planning and support of webinars, including registration and platform management.
• Collaborate with the Manager, Education to ensure learning content is launched accurately and on schedule.
• Provide member support for access and navigation of the Learning Management System

Communications & Reporting

• Distribute and track faculty and attendee communications.
• Contribute to event website and portal development and provide technical or customer support as needed.
• Support process improvement through data entry, documentation, and analysis.

Other

• Provide administrative support and other duties as assigned.
• Participate in team meetings, training, and Association events as required.

Work Environment

• Hybrid work environment based in Rockville, Maryland
• Occasional evening/weekend work and domestic travel required for events, some limited international travel.
• Must be able to lift and move up to 30 lbs. for event logistics as needed.

Qualifications

• Bachelor’s degree in hospitality, event management, education, or a related field or commensurate relevant work experience.
• 2–5 years of relevant experience in meetings, education programming, or Associations.
• Knowledge of/experience in healthcare or insurance industries a plus.
• Familiarity with Association management system, registration systems, event platforms, and learning management systems (e.g., Zoom, iMIS, SharePoint).
• Strong organizational and problem-solving skills with high attention to detail.
• Excellent written and verbal communication skills.
• Ability to manage multiple priorities and timelines in a fast-paced environment.
• Customer service-oriented with a team-focused mindset.
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, Teams), advanced Excel/pivot tables a plus. Familiarity with or Interest in application of AI tools.
• Willingness to travel (approximately 6 trips or 30 non-consecutive days annually, including some weekends). International travel on a limited basis (next in 2028).
