Position is Remote or based in Minneapolis with office access at Ewald Consulting
AWI is a professional membership association for those who conduct, manage, or have a professional interest in workplace investigations, including attorneys, human resources professionals, private investigators, and others. AWI’s mission is to promote and enhance the quality of impartial workplace investigations. Through access to top-notch training, AWI helps practitioners stay at the forefront of their field. The Program Specialist coordinates and supports in-person and virtual continuing education programs. The position supports Seminars, Webinars, Workshops, the Training Institute, and other programs as assigned.
Roles and Responsibilities
Seminars and Workshops
Coordinates and executes all live and on demand virtual seminars and workshops (approximately 12 live sessions per year)
Works collaboratively with AWI’s committees and speakers to finalize educational content
Plans all logistical details of the virtual trainings including Zoom rooms, polls, breakout rooms, schedules, moderators, as needed
Coordinates the setup and maintenance of the Learning Management System platform used for the trainings
Attends all virtual training modules
Coordinates the continuing education credit application process
Develops and tracks the evaluations to ensure continued improvement of programming
Coordinates all communications and marketing related to program promotion in conjunction with AWI’s volunteers and the Marketing/Communications Department
Ensures all event-related tasks are entered, monitored and completed using the project management software
Staff liaison to the Seminar Committee: Schedule, attend, and participate in committee meetings and conference calls; record and disseminate committee minutes ; and provide resources and reports as needed
Webinar Programs
Coordinates monthly webinar programs, including:
Orientation and practice session with presenter and moderator
Online technical support during presentation
Setting up online registration and processing credit cards for registration fees as applicable
Drafting marketing emails to members and nonmembers (invitation and link to join the association)
Sending email confirmations to registrants
Creating an on-demand product of the program, which includes preparing and posting the webinar recording to the AWI website
Sending post-webinar email to attendees and addressing ongoing pre- and post- webinar attendee support
Staff liaison to the Webinar Committee: Schedule, attend, and participate in committee meetings and conference calls; record and disseminate committee minutes ; and provide resources and reports as needed
Continuing Education Credits
Gather and format content for accrediting bodies to apply for approval
Submit applications within the required windows
Execute accrediting requirements including sign-ins, evaluations
Audit CE records to ensure compliance, accuracy, and accountability in tracking professional development activities
Learning Management System (LMS)
Set up learning products in the LMS
Align approved/valid CE certificates to learning products
Build standardized templates for marketing of learning products
Work with subject matter experts to categorize and evaluate content upon initial creation
Provide monthly LMS usage and evaluation reports
Provide user support related to LMS content or records
Maintain integration with other systems (website, member management systems, merchant accounts, etc.)
AWI Training Institute and Certificate Program
Support the Training Institutes, both in person and virtual, throughout the year
Prepare materials for attendees
Provide support to the Program Manager in creating and delivering attendee communications
Provide support to the Program Manager for all printing, shipping and mailing needs related to onsite delivery
Assist with content editing and preparation of program materials, including digital and print assets, to ensure clarity and consistency
Provide technical support and virtual logistics management for the Virtual Institute, in collaboration with the Program Manager
Assist in the day-to-day operations of the program, which includes but is not limited to: order, pack, and ship required student, faculty, and staff materials to the venue
Manage assessment administration consistent with AWI and ANAB policies (see below), which includes but is not limited to: revise, print, and prepare testing materials for students and proctors; proof the assessment schedule for onsite and virtual testing
Keep the large volume of digital and physical Institute documents organized and secure, consistent with AWI and ANAB policies and the protection of intellectual property, which includes but is not limited to effectively learning and utilizing systems such as: SharePoint, Dropbox, Grade Scope, SurveyMonkey, Poll Everywhere, and keyed file cabinets
Travel onsite to assist with 3 programs per year, mainly in the contiguous U.S.
Respond to inquiries about the Institute in a timely and helpful manner
Assist in monitoring and evaluating the tasks, responsibilities, and services carried out by the vendors, collaborators, and contractors in accordance with the provisions of the relevant contracts and the AWI policies and procedures
Identify new vendors and solicit bids for services as necessary
General
Respond to inquiries in a timely and helpful manner
Ensure all program-related tasks are entered, monitored and completed using the project management software
Other duties as assigned by the Program Manager and/or Executive Director
Required Qualifications and Education
Bachelor’s degree or equivalent experience
1-3 years of experience in training, education, meeting planning or related industry
Excellent customer service presence and mindset
Strong organizational and project management skills – attention to detail is a must
General knowledge of Microsoft Office suite with a proficiency in MS Word and MS Excel
Preferred Knowledge and Skills
1-3 years of experience in a client-service related role or industry
Working knowledge of learning management systems, such as CE21
A consultative mindset and approach to customer service
An eye toward continuous improvement
A team-player mentality
Flexible, patient and calm working demeanor
Experience in and/or understanding of human resources subject matter
