CGA is seeking an Executive Coordinator to support the President and CEO. This role will provide high-level administrative and operational support to the President and CEO by coordinating with the leadership team to ensure smooth execution of executive priorities and initiatives that advance the organization’s goals. The ideal candidate is highly organized, detail-oriented, proactive, and able to support multiple projects in a fast-paced environment while maintaining confidentiality and professionalism. This position is based in CGA’s offices in Alexandria, VA, with a hybrid schedule that combines in-office and remote work. Specific days in the office may vary depending on team needs and project requirements.
Responsibilities
Executive Support
Manage executive calendars, schedule meetings, and coordinate complex travel arrangements.
Prepare agendas, presentations, briefing materials, and follow-up documentation for meetings.
Prioritize incoming communications (emails, calls, correspondence) and respond or redirect as appropriate.
Track action items and ensure deadlines are met.
Board & Stakeholder Coordination
Coordinate and support board meetings, including scheduling, compiling board packets, taking minutes, and tracking follow-up actions.
Maintain positive and professional relationships with board representatives, association members, partners, and other key stakeholders.
Assist in planning and executing meetings and special events.
Project & Operations Support
Coordinate cross-departmental projects, ensuring timelines, deliverables, and reporting requirements are met.
Maintain organizational documents, policies, and records in compliance with applicable laws and best practices.
Support strategic initiatives, research, and special projects.
Other duties as assigned.
Communication & Information Management
Draft, proofread, and edit correspondence, reports, and other written materials.
Maintain discretion with sensitive information and uphold confidentiality at all times.
Serve as a conduit of information between leadership, staff, and external partners.
Education & Experience
Bachelor’s degree in business administration, communications, or a related field preferred (or equivalent experience).
3+ years of experience in executive support, administrative management, or similar role.
Experience working with boards, senior leadership, or C-suite executives strongly preferred.
Skills & Competencies
Outstanding organizational, time management, and problem-solving skills.
Exceptional attention to detail.
Strong written and verbal communication abilities.
Proficiency in Microsoft Office Suite, Smartsheet and collaboration tools (e.g., Teams, Zoom, Google Workspace).
Ability to anticipate needs, think strategically, and adapt quickly to shifting priorities.
High level of professionalism, discretion and confidentiality.
Some travel, non-traditional work hours, and weekend work required.
