Summary of Position:
Reporting to the Chief Operating Officer, the Senior Human Resources & Office Manager serves in a dual role, managing both HR functions and daily office operations at NAMA. This position ensures the effective delivery of core HR services—including recruitment, employee relations, benefits and leave administration, and performance management—while also overseeing office management activities to support a productive work environment. Acting as a trusted advisor to leadership, this role balances strategic HR responsibilities with hands-on operational support.
We are looking for a hands-on, pragmatic, detail-oriented professional who is proficient in HR and office administration.
Duties and Responsibilities:
Human Resources:
Responsible for providing operationally focused HR support with a broad generalist remit; be familiar and up to date with applicable HR laws and regulations.
Maintains, updates and implements HR related initiatives and polices to support leadership team goals.
Facilitates initial set up and enrollment in payroll service, benefits, and retirement plans.
Collects and compiles payroll changes each pay period in conjunction with Accounting and Finance team
Utilize Paylocity to add new hires, terminations, and set up and track employee PTO.
Collaborate with vendors and brokers on benefits design.
Manage the annual benefits enrollment process in Fall.
Responsible for recruitment efforts including job posting, preliminary screening of candidates, initial interviews, background, and reference checks; and offer letters for new employees.
Manages onboarding, orientation and offboarding processes, including conducting exit interviews, analyze data and make recommendations for continuous improvement.
Supports the development and implementation of personnel policies and procedures; assists in employee handbook and policy and procedure updates.
Provide policy and procedure and handbook explanation to employees and supervisors as needed.
Supports the development and updating of job descriptions
Manages performance management program
Creates and maintains all employee files and records, HR forms, org charts, reports etc.
Maintains compliance with federal and state regulations concerning employment
Front-line contact for all employee related HR issues
Plans and manages staff events, such as staff meetings, trainings, outings etc.
Office Operations:
Responsible for management of the office including layout, appearance, furniture & equipment.
Responsible for overseeing the relationship with the building management and ensuring services are provided according to lease.
Responsible for operational systems such office security, parking contracts etc.
Works to ensure efficiency of the office environment and processes.
Responsible for all outgoing and incoming mail, shipments, and distribution to office staff.
Responsible for maintaining, ordering, and stocking of office supplies.
Works with the IT team on procurement of new equipment, replacements, and relevant supplies.
Approves & reconciles appropriate invoices.
Maintaining and organizing corporate records and files
Perform other tasks as assigned by the NAMA Leadership Team.
Technical and Behavioral Requirements – Education, Areas of Knowledge and Experience
Bachelor’s degree in Human Resources or Business Management
Minimum of three years’ progressive experience in HR Management
Demonstrated experience successfully dealing with highly confidential information
High level of personal and professional integrity, ethics and trust
Fluency regarding HR compliance, principles, and practices
Previous payroll processing experience. Working knowledge of Paylocity, Paychex or ADP/ Workforce Now.
Working knowledge of MS Office applications.
Strong organizational skills with excellent attention to detail and proof-reading skills.
Excellent verbal and written communication skills.
Hands-on operating style and resourceful problem solving.
Able to exhibit a high level of confidentiality, discretion, and sensitivity.
Able to effectively prioritize workload and manage multiple tasks.
