Job Title: Director of Database and Office Information Technology Reports To: Chief Operating Officer FLSA Status: Full-Time, Non-Exempt
Overview:
As Director of Database and IT, you will play a crucial role in managing, streamlining and analyzing the membership data within the association's Aptify CRM, as well as overall planning, organizing, and execution of IT functions for the Association. This position requires a combination of technical expertise, database management skills, and analytical capabilities to ensure the accurate storage, retrieval, and utilization of data for the association's various functions. This individual will also work across NPMA’s other platforms, including an LMS, volunteer management, conference/speaker program, exhibit program and oversee the internal file storage management and computer setup.
Responsibilities:
Database Management:
Oversee the association's database infrastructure, ensuring its efficiency, security, and reliability.
Design, implement, and maintain database systems and structures to meet the organization's data needs.
Perform regular data audits to identify and rectify inconsistencies, errors, or outdated information.
Work with Aptify business consultant and programmers to ensure NPMA is upgrading versions of Aptify as needed.
Integrate platforms as needed with Aptify, ensuring the flow of data between association programs.
Create and maintain SOPs for data collection and management and data governance policies.
Provide support to users in accessing and utilizing the database effectively.
Conduct training sessions for staff to enhance their understanding of database functionalities.
IT Functions:
Serve as organization’s point of contact with outside hardware and software vendors (i.e. Phone system, security system, etc.).
Ability to review Association’s Tech Stack and make recommendations on future technology needs.
Lead the integration and implementation of new software packages and programs.
Evaluate, organize and provide assistance with using NPMA’s file storage system (currently Dropbox).
Maintain a list of Staff computers and serve as point of contact in placing orders for new computers as needed and handling new system setups.
Troubleshoot any tech problems that arise from Staff.
Data Analysis:
Utilize analytical tools and techniques to extract valuable insights from the association's database.
Generate reports, dashboards, and visualizations to present data-driven recommendations to stakeholders.
Collaborate with other departments to understand their data requirements and provide relevant solutions.
Increase demographic data on current and prospective member companies, including, but not limited to
# of employees & breakdown (roles, gender/ethnicity, etc)
Revenue
States they operate in, breakdown of revenue within each
User Experience:
Evaluate, suggest and lead improvements to NPMA’s online user experience via the Associations database and affiliated software programs.
Develop process in conjunction with membership and communications to automate new member communications and secondary outreach to verify and update data on a routine basis.
Collaboration:
Work closely with association leadership to align database and technology strategies with overall organizational goals.
Ability to multi-task and prioritize staff requests related to database and associated functions.
Collaborate on a routine basis with organization’s database consultant and outsourced IT company.
Qualifications:
Bachelor's degree in Computer Science, Information Technology, or a related field.
In depth knowledge of Aptify
Familiarity with Attendee Interactive, Expologic, Map Your Show, HubSpot, OpenWater and other relevant platforms
Familiarity with Learning Management Systems (LMS)
Proven experience in database management and analysis.
Strong proficiency in database management systems (e.g., MySQL, Oracle, SQL Server).
Proficient in data analysis tools and techniques.
Excellent communication and interpersonal skills.
Knowledge of data privacy regulations and best practices.
Problem-solving and critical-thinking abilities.
Preferred:
Certification in database management or related field.
