Position Overview: We are on the lookout for an experienced Database Administration Manager to oversee our Association Management Software (AMS), Impexium. In this pivotal role, the primary duties will be to uphold data integrity across the association through the establishment of robust policies and procedures and by providing comprehensive staff training.
Essential Functions of the Position Include, but Are Not Limited To:
Successfully manage the relationship between the association and its AMS, Impexium.
Have a complete understanding of every aspect of Impexium; ensuring the association is using it to its fullest capacity.
Manage the integrity of the association’s data in the Impexium AMS database.
Perform periodic audits on key functionality of the AMS.
Have a full understanding of what data the association is collecting in the AMS including how/where its being collected, stored and disseminated (data map).
Monitor the Member Directory and Legal Directory for functionality, accuracy and improvement.
Create, manage, and run queries, exports, and reports to provide constituent managers with information related to departmental initiatives while constantly monitoring queries and reports for accuracy.
Design and implement policies and procedures across the association to effectively enhance data integrity.
Create and maintain user guides, SOP’s and policies and procedures for Impexium.
Conduct regular audits of the Impexium online database to identify and implement online and offline database cleanup, including record merges.
Work with VAI support staff to update database records and increase the amount of successful email and postal deliveries. Track and maintain reporting on deliveries.
Develop and manage appropriate Impexium security groups and user permissions within the platform.
Analyze reports to support programmatic efforts.
Proactively make recommendations for improvements regarding data integrations, reporting capabilities, and the association’s approach to the management of data.
Advance the associations data strategies by staying current with data integrity best practices, processes, procedures, methods, and technology applications.
Manage data transfer processes and the integration of data between Impexium and external source platforms; this includes Real Magnet/Informz for email, Blue Sky for the LMS, Map Your Show for the exhibitor registration, Maritz for show registration, and other platforms as needed.
Troubleshoot data integration issues and communicate with appropriate parties.
Assist the Director of Membership in any membership related tasks, as assigned.
Other duties and special projects as assigned.

Desired Qualifications for the Position Include:
Bachelor’s degree in a relevant field or equivalent work experience.
Five to seven years of experience with an AMS such as Impexium, or other comparable system.
Demonstrated knowledge of best practices using an AMS and experience using SQL and HTML.
Five years of experience in a non-profit setting with increased responsibilities.
Experience reviewing/testing API access.
Experience using Microsoft Power Automate.
Experience with Higher Logic or similar email systems, Maritz and Map Your Show or similar registration systems, Blue Sky or similar LMS systems, and CMS integration with an AMS preferred.
Knowledge of strategies and principles of membership database operations.
Demonstrated ability to manage multiple priorities and work in a fluid, dynamic environment.
Strong technical communication skills with the ability to synthesize technical information into clear messages for various audiences.
Creative, curious, intuitive, and resourceful; exceptional attention to detail.
Strong leadership skills and a strategic mindset with the ability to deliver short-term and long-term data-driven results.
