Meetings and Convention Specialist

The Sheet Metal and Air Conditioning Contractors’ National Association (SMACNA) is a leading international trade association representing 3,500 signatory contracting firms across the globe.   SMACNA is looking for a Meetings and Convention specialist to join its Meetings and Convention department.  The position requires excellent customer service skills, attention to detail, organizational and time management skills, the ability to work independently and proficiency with Microsoft Office is also required.  Extensive experience using Monday.com is required.

Primary responsibilities include:

• Creating, distributing, and tracking all meeting requests in Monday.com
• Handling the registration process for all meetings.
• Serving as a point of contact for meeting and convention inquiries, including event speakers.
• Supporting onsite convention execution, including registration, setup, and vendor coordination and other logistics.
• Managing meeting-related documents, reports, and registration and housing data; maintain accurate and organized records.
• Handling shipping logistics, including creating supply lists, managing packing/unpacking, and ensuring timely delivery of materials.
• Coordinating signage details for meetings and convention.
• Help develop and implement post-event surveys and evaluations to support continuous improvement.
• Maintaining calendar of meetings and external chapter meetings.
• Providing support to the Executive Director, including scheduling, correspondence, and special projects as needed.

The position reports to the Chantilly, VA headquarters office but hybrid/remote may be considered.  High school diploma required with additional education preferred, and a minimum of 2 years of meetings experience preferred.    Interested candidates should apply to jobs@smacna.org.
