Summary: The IAFC is a dynamic and evolving organization with a medium-sized office in McLean, VA. This position is to provide is to perform the internal administrative support matters of the IAFC. Responsible for the administrative duties of the headquarters, including but not limited to office equipment, facilities management, office supplies, front desk duties, preparing correspondence, maintaining records, answering and screening phone calls, keep all storage areas organized, and mail distribution. After the six-month probationary period, the candidate will have the option to work one day a week from home.
JOB DESCRIPTIONS:
Oversee office operations and procedures to ensure efficiency, including ensuring compliance with office policies and procedures, managing office supplies, and coordinating management, maintenance and repairs of facilities and . Maintain office equipment, storage facilities, and sort and inventory of existing supplies. Set up desks for new hires, greet and assist all guests, clients, and vendors.
Provide administrative support as needed to senior management and employees, including scheduling meetings, managing calendars, and making travel arrangements. Provide support by writing official letters, setting up conference rooms and conference calls as needed.
Serve as a point of contact for internal staff and external members, handle mail and distribute incoming deliveries, and handle inquiries.
Coordinate and collaborate with IAFC’s teams if they need any supplies, provide support with writing official letters , distribute incoming deliveries.
Support the Director of Executive Operations in Board operations, meetings, travel and events, as needed, including by preparing agendas and Board materials.
Technical Skill
Display strong, proactive and creative organizational skills, attention to detail and the ability to handle multiple overlapping activities.
Work actively to create processes that manage office efficiency and consistency.
Support the Executive Operations team in problem-solving for address issues that may arise in the office.
Proficiently and accurately communicate in both written and oral formats, for both internal and external audiences.
Expertise in Microsoft SharePoint environment to include varied programs, including Outlook, Word, Excel, and PowerPoint.
Knowledge of project management software such as Monday.com.
Knowledge of AMS/CRM software such as Salesforce.
Knowledge of Adobe to create, edit, and combine .pdf files.
Skills: Ideal candidate learns quickly, is a self-starter, and has excellent working knowledge of modern office methods, practices, procedures, and equipment. This candidate should be mature, with an ability to work independently to meet needs and deadlines in an environment of rapidly changing priorities with little supervision
Required to work in office five days a week during probationary period of six months. Has a minimum of 4 years of work experience in administrative, clerical, receptionist, membership, and association support.
