CLIENT ASSOCIATION: International Parkinson and Movement Disorder Society POSITION REPORTS TO: Senior Program Manager, MDS POSITION(S) REPORTING TO PROGRAM COORDINATOR: None POSITION STATUS: Non-Exempt (37.5 hours/week)
GENERAL SUMMARY
The International Parkinson and Movement Disorder Society (MDS) is a non-profit medical professional society of influential clinicians, scientists, and other healthcare professionals from around the world dedicated to improving the care of patients with movement disorders through education and research.
The Program Coordinator provides logistical support to the Director of Education, Assistant Director of Education and Regional Program Managers in the coordination of the MDS education programs. This position is responsible for the successful implementation of educational programming as assigned by MDS Education staff; monitoring the Education email account; translation tracking of Patient Leaflets, CME activity support, and administrative support for the MDS Learning Management System (LMS).
POSITION RESPONSIBILITIES (37.5 hours/week):
Responsible for monitoring the general MDS Education email account and responding in an accurate and timely manner to member inquiries.
Develop proficiency in the administrative management of the Learning Management System (LMS) to provide support to educational course participants
Coordinate and implement assigned aspects of educational programming preparation as determined by the Regional Program Managers.
Coordinate and implement participant application/registration/enrollment as assigned by the Regional Program Managers.
Coordinate and implement the faculty management including arranging travel and processing payments as assigned by the Regional Program Managers.
Coordinate program materials preparation and manage shipment of materials to venues.
Monitor program materials and supplies.
Assist with post program reporting and budget reconciliation.
Coordinate program travel grants including creation of forms, application management and payment processing.
Support the management of all CME activities as delegated.
Support Education Committee and Study Group activities as delegated
Work with internal departments (IS, TS, CS, Mail, Accounting, etc.) as needed for MDS projects or as requested by the Director of Education.
Interface in a professional manner with physicians, vendors, outside staff and others as needed.
Other duties as assigned.
AMOUNT OF TRAVEL REQUIRED: Approximately 1 week per year; some early morning/evening and weekend work required.
EDUCATION/EXPERIENCE REQUIRED: Bachelor’s degree preferred. Meeting planning and communications experience preferred. Excellent organizational and verbal and written communication skills preferred with outstanding customer service. Word processing and proficiency in MS Office Suite essential. Oral and written proficiency in Spanish is appreciated but not required.
PHYSICAL REQUIREMENTS: Unrestricted mobility: occasional lifting of up to 50 lbs. may be required.
*This position is located in downtown Milwaukee, WI and a minimum of two days onsite in the office (including Wednesday as an all-staff-in-office day) are a requirement of the role.
