Position Summary: The Program Coordinator will work closely with the ACC team to provide essential support for various ACC programs and initiatives. This role requires strong organizational skills, excellent communication abilities, and the capacity to multitask effectively in a dynamic environment. The ideal candidate will have 2–3 years of experience in an association setting and a demonstrated ability to support program operations with accuracy and attention to detail.
General Administrative Support • Oversee the ACC Admin and Info email accounts ensuring timely and professional responses to general inquiries, and forward to appropriate staff members. • Manage and respond to phone calls/messages, as needed. • May be required to lift to 10–15 pounds as part of regular job duties.
Training Programs Support - Webinars and Lunch and Learns • Provides administrative support for webinars in development by the Education Committee and ACC
Industry Insights • Manages and communicates schedules for deliverables and practices for ACC webinars. • Solicits and collates bios, photos, accreditation documentation, and draft and final presentations. • Creates registration for webinars in AMS database and runs financial reports. • Coordinates participant and presenter registrations and responds to questions and inquiries regarding webinars. • Develops, coordinates and submits relevant information for accreditation of ACC events to AIA, RCEP and ACPA. • Develops and aggregates training evaluations upon completion. • Hosts and manages ACC webinar practice rehearsals and day of event delivery on zoom. • Develops scripts and housekeeping/marketing/update slides for webinars. • Assists with webinar discount codes and training bundles on utilization.
Membership Support • Coordinate logistics and tools for regular member outreach, including surveys, phone calls, and other communication efforts. • Update member and company records in Impexium. • Assist in annual member renewal invoicing and tracking.
Committee Support • Collate and distribute meeting schedules, agendas, and other materials or supplies needed to facilitate board and the 10 ACC committee meetings. • Schedule ACC yearly committee calls on the ACC calendar; create Zoom links; register attendees as relevant for committee webinars. • Maintain and update committee member lists in Impexium, ACC’s membership management software.
Symposium Coordination • Provide administrative support for the planning and execution of the Symposium. • Ensure accuracy in agenda and program details to support marketing efforts. • Perform additional Symposium-related duties as assigned.
Advertising Support • Solicit and manage advertisers for the ACC Weekly Newsletter and ACC website. • Work with the Membership team to integrate Corporate Sponsorship Package sponsors into ACC Weekly Ads. • Collaborate with the Marketing team to ensure advertising fulfillment in ACC’s Newsletter. • Communicate with members and non-members interested in advertising and coordinate with the accounting team for invoicing and payments. • Update the ACC Employment Page and work with Marketing to promote advertising on ACC Weekly and social media. • Assist with drafting marketing content for communications and campaigns.
Technology and Onsite Conference Support • Stay informed of IT and AMS needs and issues, providing website management support. • Provide onsite conference and meeting support, including registration, badge creation, and customer service support.
QUALIFICATIONS • Bachelor’s degree preferred. • Association, non-profit, or AMC experience strongly preferred, with 2+ years of association experience required. • 1-3 years of workforce experience, including internships. • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint); database management experience is a plus. • Exceptional organizational skills and attention to detail. • Strong verbal and written communication skills. • Ability to multitask and manage competing priorities effectively. • Interest in learning and gaining proficiency in new skills.
