Programs & Member Engagement Specialist Full-Time | Northeast Association of REALTORS® (NEAR) | Westford, MA
Position Overview: The Programs & Member Engagement Specialist plays a key role in the delivery of continuing education, professional development, member service, and event coordination. This position is ideal for a highly organized, service-minded individual who is comfortable working directly with members and vendors and can manage multiple priorities in a fast-paced environment.
This role reports to the CEO and works collaboratively with the full NEAR staff team to ensure high-quality programming and member engagement.
Key Responsibilities:
Continuing Education & Professional Development
Coordinate all aspects of continuing education programs, including scheduling, instructor communication, course approvals, and logistics.
Work with the CEO to plan and execute new professional development opportunities for members.
Track program participation, evaluations, and compliance with licensing regulations in Massachusetts and New Hampshire.
Assist with identifying and recruiting instructors and subject matter experts.
Member Support & Engagement
Serve as the first point of contact for members, walk-ins, and general inquiries.
Assist with new member onboarding and help track orientation requirements and CE compliance.
Maintain a professional and welcoming presence in the office and at all events.
Provide administrative support for membership retention and affiliate partner engagement.
Business Partner & Affiliate Coordination
Assist in identifying and building relationships with new business partners and affiliates.
Provide support for outreach efforts, including phone calls and follow-up communications.
Help facilitate sponsor benefits and coordinate logistics tied to affiliate involvement in events or programming.
Event Support & Execution
Provide logistical and on-site support for all NEAR events, including registration, setup, catering coordination, and A/V needs.
Coordinate with staff, venues, and vendors to ensure smooth execution of meetings, education programs, and member events.
Assist with post-event evaluations and identify areas for improvement.
Support event marketing efforts in collaboration with communications staff.
Committee Staffing
Provide staff support for assigned committees, including scheduling, communication, and follow-up.
Assist with preparation of meeting materials, agendas, and minutes as needed.
Staff Team Member Responsibilities
Complete other duties as assigned.
Maintain a “customer service” attitude and professional demeanor with members and fellow staff.
Keep individual workspace clean and organized.
Archive or destroy documents and files as appropriate.
Attend association functions and provide on-site support as needed.
Assist in keeping common areas neat and refreshments stocked for on-site events.
Learn and adopt new software systems with training as needed.
Communicate issues, obstacles, or concerns to the CEO and recommend solutions or request assistance when appropriate.
Support fellow team members as needed or as directed.
Answer phones and greet walk-in members with professionalism and care.
Assist with mailings and transport mail to the mailbox when required.
Follow all guidelines and directives outlined in the NEAR Staff Handbook.
Preferred Qualifications
Strong customer service background; experience in a membership-based organization is a plus.
Previous experience in event planning or educational program coordination is a plus.
Excellent written and verbal communication skills; must be comfortable making and receiving professional phone calls.
Ability to prioritize tasks, meet deadlines, and work independently as well as collaboratively.
Proficiency with Microsoft Office 365 and Google Workspace (G Suite); experience with Canva, Constant Contact, or database software is a plus.
Familiarity with the real estate industry, adult education, or nonprofit associations is helpful but not required.
Work Environment:
This is an in-office position with the ability to be hybrid following a successful onboarding and training period, typically after the first 90 days and based on performance and business needs.
The primary office is located in Westford, MA.
Some early morning or evening events may require flexible scheduling.
Must be able to lift up to 20 lbs and assist with physical event setup.
Compensation & Application Details
Salary range: $45,000–$60,000, depending on qualifications and experience.
