Position Summary
The Associate, Meetings and Education, supports the planning, coordination, and execution of high- quality virtual and in-person meetings, conferences, webinars, and educational programming for the Medical Professional Liability Association. This role is responsible for pre-event logistics, onsite operations, registration management, sponsorship fulfillment, continuing education (CE) documentation, and digital platform support. The Associate plays a key role in delivering exceptional attendee experiences and maintaining high standards for educational and logistical execution.
Responsibilities
Event & Meeting Logistics
Coordinate onsite and virtual logistics including room setup, audiovisual, catering, registration, signage, and materials.
Monitor hotel room blocks and provide reports on attrition, rooming lists, and cut-off dates.
Generate name badges, tent cards, signage, and meeting materials.
Prepare shipping labels, packing checklists, and box content summaries; pack and ship materials as needed.
Bachelor’s degree in hospitality, event management, education, or a related field or commensurate relevant work experience.
2–5 years of relevant experience in meetings, education programming, or Associations.
Knowledge of/experience in healthcare or insurance industries a plus.
Familiarity with Association management system, registration systems, event platforms, and learning management systems (e.g., Zoom, iMIS, SharePoint).
Strong organizational and problem-solving skills with high attention to detail.
Excellent written and verbal communication skills.
Ability to manage multiple priorities and timelines in a fast-paced environment.
Customer service-oriented with a team-focused mindset.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, Teams).
Willingness to travel (approximately 6 trips or 30 non-consecutive days annually, including some weekends). International travel on a limited basis (next in 2028).
