Are you an experienced and creative event planner who thrives on executing seamless, high-profile events? Do you excel in fast-paced environments while delivering top-notch customer service? If so, NADA is looking for a Meetings & Special Events Manager to join our team!
As our Meetings & Special Events Manager, you'll be responsible for the planning of NADA Board of Directors meetings, American Truck Dealers (ATD) Line Representatives meetings, and various committee meetings and special events.
This is a full-time position with a collaborative work culture, competitive salary, and excellent benefits. Duties require travel up to 20% of the role.
Key Responsibilities:
Manage and execute all NADA Board and ATD Line Representative meetings, committee meetings, and special events, overseeing all logistics including transportation, A/V, catering, and event materials.
Conduct site visits, perform site-selection, and skillfully negotiate contracts for all assigned meetings and events.
Manage all high-profile Board, Committee, and VIP events held at the NADA headquarters hotel during the annual NADA Show.
Secure and oversee all vendor contracts, including preparing RFPs, analyzing bids, and finalizing agreements.
Cultivate and maintain strong working relationships with NADA's Chairman, President, Board members, VIPs, executive staff, and external partners to ensure event success.
Provide exceptional on-site management and operational leadership for VIP events, ensuring seamless execution, proactive problem resolution, and positive attendee experiences.
Strategically organize and execute planning visits for all NADA and ATD Board meetings to guarantee first-class events and efficient logistics.
Manage the NADA Chairman’s appointments, travel itineraries, and calendar, ensuring maximum efficiency and coordination.
Required Qualifications:
Minimum 5 years of meeting planning experience required.
Bachelor's degree in Hospitality Management, Event Management, or Business Administration is preferred, or an equivalent combination of training and experience. CMP certification a plus.
Ability to interact with C-suite level executives and Board members, demonstrating strong executive presence.
Excellent written and oral communication and organizational skills.
Proven ability to maintain composure and effectiveness in high-volume, fast-paced environments.
Demonstrated initiative in anticipating needs and proactively addressing challenges.
Exceptional customer service skills with a proven ability to build strong rapport with diverse stakeholders.
Proficiency in Microsoft Office Suite programs. Experience with attendance software preferred.
Detail-oriented with the ability to set priorities and handle multiple short-term and long-term projects while following through on assignments.
Desire to work in a team environment and the ability to handle confidential information is a must.
Association experience preferred.
