Summary of Position:
The Manager, Meetings and Events is responsible for assisting with and managing the planning, organization, and execution of high-quality meetings, conferences, trade shows, and special events that align with NAMA’s goals and standards. This a multifaceted role that requires both effective event management and excellent project management skills.
Duties and Responsibilities
Events/Program Support:
Support The NAMA Show and CTW including assisting with budget creation and monitoring, site selection, creating and sourcing vendor RFPs, logistics (event specs, staffing schedules, etc.), exhibitor and sponsor support, onsite event management, member assistance, and other duties as needed.
Manage event registration for all NAMA events including setup, testing, ongoing monitoring, reporting, and member assistance.
Manage NAMA Fly-In & Advocacy Summit including event logistics, staffing assignments, sponsorship fulfillment, signage creation, transportation, organizing special events/tours, and member assistance.
Sales and sponsorship support including participating in sales calls, assisting with prospecting as directed, following up with the sales team on deliverables, preparing and/or reviewing agreements (Annual Marketing Partner, sponsorship, etc.), helping to determine sponsorship offerings and cost, and supporting sponsorship fulfillment.
Collaborate with internal and external stakeholders to ensure NAMA event goals are achieved.
Provide support for housing and travel needs including room block management and monitoring, and staff travel support.
Vendor management including cultivating, facilitating, and maintaining relationships between the Association and vendors/partners.
Management of NAMA special events such as Women in the Industry (WIN) and Emerging Leaders Network (ELN) events, and others as needed.
Travels to NAMA events, site visits, and other meetings, providing onsite support to ensure proper execution of events.
Behavioral/Technical Requirements:
Highly collaborative style. Sincere commitment to working with staff, members, volunteers, and vendors.
Excellent written communication skills are essential.
Ability to think strategically; proactively identify issues and generate recommended solutions.
Excellent organizational skills and attention to detail; ability to handle multiple tasks simultaneously and balance competing priorities.
