This position serves a key role related to membership engagement, member services, conference logistics, and other vital administrative functions. This position is responsible for conducting excellent customer service, directly managing the membership dues invoicing and collections process, processing new member applications and performing other tasks in the Association Management System (AMS), and handling a variety of conference coordination duties. This position is responsible for providing administrative support to committees and executive staff, including scheduling calls, preparing materials, and recording minutes.
Responsibilities:
Respond to phone and email inquiries from members and prospective members about specific and general association inquiries within a timely manner
Distribute annual membership dues invoices, provide outreach to members by email and phone to follow up to collect payments, maintain up-to-date records of billing contacts
Process new member applications and membership payments in AMS
Monitor account receivables balances, proactively provide outreach to collect all outstanding payments
Coordinate with accounting department to apply all payments to the correct open invoices in the AMS
Process external invoices in accounts payable processing software, route for approval
Create conference registration forms within AMS, provide assistance to attendees trying to register, troubleshoot technical issues as needed
Maintain organized records of conference sponsor and exhibitor details, logos, signage needs, and other entitlements to ensure we are fulfilling deliverables in their packages
Provide support to committees and working groups, including scheduling calls, compiling read ahead materials, drafting agendas, recording minutes, and following up on actions
Provide support to executive staff, including scheduling calls and related duties
Maintain accurate records and up-to-date information in AMS database and website
Stay well informed about member organizations and relevant developments within the medical rehabilitation field
Other duties as assigned that align with the mission and vision of the organization
Qualifications
Bachelor's degree is required
2-4 years of professional experience in a similar capacity, preferably association or non-profit management
Strong customer service orientation and the ability to interact effectively with members and customers on the phone and through email communications
Polished communication skills, both written and verbal
Comfortable providing outreach to members and customers to request payments through both phone and email communication
Strong attention to detail, follow through, proactive communication both internally and externally, and organization is required
Efficiently manage multiple projects, prioritizing deliverables through effective communication and established processes
Proficient in Microsoft Office products (Word, Outlook, PowerPoint, Excel), CRMs (Word Press, Salesforce), and databases (Association Management Systems), with experience in email platforms like Constant Contact or Informz
Ability to learn new technology and software required
Reliability in maintaining established schedule, managing time and priorities, and meeting commitments and deadlines
Proactive and collaborative working style
Virtual Work Model
Candidates must live in the Washington, DC area. This position will primarily operate in a virtual work environment, with regular pre-planned in-person meetings in Washington, DC where attendance is expected. This model allows for flexibility for our employees while also providing opportunities to further develop our culture and build strong relationships among the team. In-person team meetings foster a sense of community, enhance collaboration, improve communication, as well as provides opportunities for team building and fun!
Travel Requirements
Minimal travel will be necessary for this position. Requirements include travel to and around Washington, DC, participation in AMRPA and other medical conference, and visits to AMRPA member hospitals. Modes of transportation may include air travel, car, or rail.
