We are looking for someone to join our team as the Sales Operations Coordinator. ASAE seeks a detail-oriented and highly organized Sales Operations Coordinator to support the operational and administrative functions of our partnerships, advertising, and exposition (expo) programs. This role ensures smooth internal processes and first-class partner fulfillment by coordinating sales operations, managing deliverables, supporting event logistics, and maintaining data integrity across platforms. The ideal candidate thrives in a collaborative, fast-paced environment and enjoys balancing both big-picture planning and fine-detail execution.
Key Responsibilities
Advertising Operations
Monitor and track digital and print advertising materials submitted through FTP or other platforms to ensure compliance with insertion orders (e.g., specs, dates, sizes).
Follow up on outstanding or incorrect submissions and send timely reminders to advertisers.
Assist with uploading and QA of advertising assets in digital ad management platforms.
Collaborate with Marketing to update product sales sheets and promotional materials.
Support invoicing process: pull invoices, distribute to account managers for review, send approved invoices to advertisers, and generate monthly AR/trial balance reports.
Compile and maintain performance metrics and report across advertising products.
Sponsorship Fulfillment & Expo Support
Coordinate with internal teams (e.g., marketing, meetings, web) to ensure sponsor deliverables are executed accurately and on time.
Assist with exhibitor onboarding, registration, and tracking, including uploading and validating sponsor/exhibitor assets (logos, descriptions, URLs).
Perform ongoing quality control checks across event platforms (digital and print) to ensure accurate representation of all sponsors and exhibitors.
Provide logistical and administrative support for partner signage, shipping, and onsite recognition for expos and events.
Partnership Operations
Route incoming inquiries to appropriate team members and respond to partner service questions as needed.
Maintain and update partner asset files including logos, contact lists, and calendars.
Support invoice generation and tracking for partnership accounts.
Conduct regular audits to ensure accurate partner recognition across ASAE channels (website, print, email, signage).
Assist with preparation of partnership audit materials and end-of-year impact reports.
Assist with other administrative tasks as required.
Qualifications
Required Skills & Abilities
Strong attention to detail, accuracy, and follow-through.
Excellent time management and organizational skills with the ability to multitask.
Strong verbal and written communication skills.
Proactive mindset with the ability to work independently and collaboratively.
Minimum of two years experience working cross-functionally with marketing, sales, and/or event teams.
Familiarity with CRM systems and digital advertising platforms is a plus.
Prior experience in nonprofit, association, or B2B media/sponsorship environments is preferred.
