Position Overview:
The Exhibits Manager manages all aspects of two (2) or more trade shows including sales, exhibitor services, and on- site exhibitor registration and floor management. Generate new and repeat exhibitor booth sales, estimated at 60 exhibitors. Develop all exhibitor communications including the exhibitor prospectus, exhibitor service manual and related literature, exhibitor abstracts for inclusion in the final program, and content for the exhibitor portion of the event web site. Exhibitor services include but are not limited to contract processing, answering exhibitor inquiries, obtaining fire marshal approvals, overseeing the EAC process, decorator coordination, on-site exhibitor registration, post-event mailing labels distributions and report development as required. Manage all aspects of ancillary meetings and events
Key Responsibilities:
Essential Job Functions and Responsibilities:
Produce, promote and manage client trade show(s)
Exhibitor Sales: Generate new and repeat exhibitor booth sales via direct referrals, phone contact, etc.
Exhibitor Services: responsible for all aspects of servicing exhibitors’ needs once booth space is contracted and payment received. Produce all exhibitor communications and oversee all exhibitor services.
Coordinate with decorating company to produce and distribute Exhibitor Service
Work closely with decorator to coordinate all logistics and perform booth
Maintain exhibitor records and database, produce revenue reports as
Oversee gathering and maintaining pertinent stats for trade Produce reports as required.
Receive and maintain items and forms related to the trade shows (e.g., registration, exhibitor forms, insurance certificates, seek Fire Marshal approval when required. etc.).
Manage trade show floor onsite. Assist exhibitors, enforce facility and rules and regulations, and resolve any issues that may arise.
Develop and maintain exhibitor website, including “Exhibit Tips” for event websites.
Coordinate lead retrieval services for trade
Research emerging exhibit/exhibitor related trends and make recommendations to maximize the trade show for both client and its
Oversee all Annual Meeting security services. This includes company research, RFP process, schedule of services and managing security services on-site.
Secondary Job Functions and Responsibilities:
Coordinates all aspects of ancillary meetings (<100 attendees) and events (i.e. pre-planning, execution, post event measurement, etc.)
Directs the efforts of event vendors (i.e. Hotel, Venue, F&B, AV, etc.)
Executes all corporate space requests for meetings.
Partner with subject matter experts to manage content development and promotion.
Serves as the attendee liaison.
Review all meeting invoices and bill events directly to individual cost centers.
Assist additional staff members to coordinate the committee meeting schedule and logistical needs.
Serves as main liaison to external groups that meet in conjunction with the client’s meetings.
Assist with maintaining the meetings and education section of the client’s website.
Collaborate with peers and colleagues in developing best practices for project management of delegated tasks.
Other duties as assigned.
Qualifications:
Bachelor's degree in a related field.
Minimum of 5-7 years of successfully demonstrated work experience or equivalent combination of education and experience, including a relevant certification with a preference for AMC experience.
CEM and/or CMP certification desired.
Relevant experience in exhibit or meetings management for associations with a Strong understanding of association management and nonprofits.
CMS/LMS/AMS understanding.
Experience working with industry standard event management technology such as Cadmium and/or Cvent.

Demonstrated history of establishing and consistently meeting or exceeding business development targets.
Ability to collaborate among a range of key business areas (marketing, event management, communications, affiliate partners, sponsors & exhibitors)
Strong portfolio of skills around negotiating and closing deals through communicating value.
Ability to leverage data in creating compelling presentations for clients, senior leadership, and decision makers.
