This position is primarily responsible for performing administrative duties for the Executive Director/Chief Executive Officer; supporting the Directors (Leadership Team) as needed; providing support for the Board of Directors; conducting research for special projects; analyzing data and preparing graphical representations for special reports; and supporting grant research and writing.
Duties and Responsibilities
Core duties and responsibilities include the following:
40% Manages the Executive Director’s calendar, including scheduling regular meetings with individuals and groups; coordinates requests for meetings from outside the organization; makes travel arrangements for the Executive Director and prepares itineraries and briefing documents; prepares and processes the Executive Director’s expense reports as needed.
25% Supports the Executive Director with Board of Director’s activities by managing Board and Committee schedules and governance responsibilities; assists in meeting and travel logistics and on-site coordination of Board meetings; assists the Executive Director with the preparation of the Board docket; takes minutes of Board and Board committee meetings; prepares and assists in new Board member orientation. Travel 2-3 times per year is required.
15% Supports Board of Directors with travel reporting, communication and travel platforms, throughout the year and onsite at meetings. Research and event planning for board meetings in collaboration with Member Programs & Engagement staff. Tracking board documents and tasks for availability and completion.
10% Assists the Executive Director with the organization’s compliance with the Records Retention and Destruction Policy by ensuring that essential Board documents, official publications, and other materials are retained for submission to Atla’s official archives. Accounts payable for contracted services.
5% Prepares reports by collecting internal information, conducting internet research, and contacting outside organizations for data; analyzes information and prepares written and graphical representations of data; composes and edits a variety of correspondence and reports requiring judgment as to content, accuracy, and completeness.
5% Supports the Executive Director’s Leadership Team (LT) by scheduling and attending weekly meetings, creating minutes, tracking action items, and preparing agendas; plans and manages logistics and materials for the LT’s in-person meetings and participates in them to record minutes and track action items; provides administrative coverage for LT members when traveling internationally or out of office for extended periods when personal response is needed; acts as a liaison with the organization’s staff.
Makes logistical arrangements and prepares materials for Atla’s all-staff retreats.
Keeps all of the Director’s activities and discussions in strict confidence.
Makes recommendations for improvements to internal processes related to the Executive Director’s office and administrative functions. Implements new processes as appropriate.
Other duties may be assigned.

Required Experience
Bachelor’s degree (B.A.) from four-year college or university; or five years related experience and/or training; or equivalent combination of education and experience in Business, Finance, or a related field.
Skills Required
Language Skills: Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.
Math Skills: Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, and percentages.
Reasoning Ability: Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
Computer Skills: To perform this job successfully, an individual should have knowledge: Spreadsheet Software (Excel); Word Processing Software (Word); Electronic Mail Software (Outlook); Presentation software (PowerPoint); as well as aptitude for Customer Relationship Management (CRM) Software; File-Sharing Software, such as SharePoint and Teams; Software as a Service (SaaS); General Accounting Software; Budgeting Software.

Other Qualifications
Two to three years of experience in supporting Chief Executive Officers (CEO), Chief Financial Officers (CFO), or other high-level executives in a business or nonprofit environment.
Physical Demands
The employee must frequently lift and/or move up to 10 lbs. and occasionally lift and/or move up to 25 lbs.

Position Travel Requirement
