Our team is passionate about serving our clients with excellence, innovation, and integrity. We are looking for a full-time Database & Client Services Manager who is eager to make a meaningful impact and play a central role in supporting both association operations and data-driven client service.
Position Summary:
The Database & Client Services Manager serves as a key team member responsible for managing and maintaining client membership databases and event registration systems, while also supporting sponsorship tracking and client communication. This individual ensures the accuracy of data across platforms, serves as the lead staff contact for member and attendee support, and helps deliver exceptional client experiences.
Key Responsibilities:
Serve as the main point of contact for client membership inquiries, event registrations, and sponsorship fulfillment
Maintain, update, and troubleshoot client Association Management Systems (AMS) including Personify products such as Wild Apricot and MemberClicks
Ensure data accuracy and integrity across all client records and platforms
Create and manage reports, registration lists, contact exports, and sponsorship tracking documents
Support event-related tasks, including managing online registration, tracking participation, and preparing event communications
Collaborate closely with the association management and events teams to meet client expectations and deadlines
Assist with ongoing AMS training and support for clients and internal staff
Perform other related duties as assigned
Requirements & Preferences:
Required:
Bachelor’s degree (Hospitality Management, Information Systems, Business, or related field preferred)
At least 2 years of experience in association management, database administration, or client support
Hands-on experience with Personify AMS products, including Wild Apricot and MemberClicks
Familiarity with other AMS/CRM platforms is highly desirable
Strong Excel skills and proficiency in Microsoft Office Suite
Exceptional verbal and written communication skills
High level of accuracy, organization, and attention to detail
Strong problem-solving skills and ability to manage multiple tasks simultaneously
Must reside in the Eastern Time Zone and be available during standard ET business hours
Willingness to work flexible hours to support live events and conferences
Ability to travel occasionally for client meetings and events
Preferred:
Experience working in or with trade associations or nonprofit membership organizations
Basic familiarity with email marketing platforms, digital communications, or light graphic design tools (e.g., Canva, Mailchimp)
Knowledge of reporting tools or database query functions
We specialize in Association Leadership & Management; Strategic Planning & Development; Public Policy & Government Relations; and Event, Conference, & Tradeshow Management for trade associations, non-profit and grassroots organizations, and mid-sized to large firms.
