CLIENT/DEPARTMENT OVERVIEW: The International Society for Extracellular Vesicles (ISEV) is a global scientific society committed to advancing extracellular vesicle research, education, and clinical application. With members around the world, ISEV provides premier meetings, journals, and educational offerings.
JOB OVERVIEW: The Administration and Membership Manager is responsible for the general management of ISEV membership and daily administrative duties. This position works closely with the Executive Director in managing client projects and programs and implementing activities that further ISEV’s objectives. Liaises with various committees as assigned to provide assistance and support. Works closely with other staff in all areas of client activities, and implements specific projects as determined.
POSITION RESPONSIBILITIES (minimum of 37.5 hours/week):
Handle ISEV membership renewal process, including development of membership renewal campaigns;
Administer ISEV’s association management system, ensuring accuracy and suggesting improvements;
Facilitate ISEV board elections in accordance with Society Bylaws, with oversight from Executive Director;
Manage mail, shipments and physical records;
Serve as primary liaison for third-party member benefit providers;
Serve as staff liaison to ISEV Education Committee, collaborating with committee chair on education strategy, arranging webinars, arranging committee meetings, taking minutes, and providing regular updates to committee chair;
Serve as staff liaison for ISEV Task Forces, Special Interest Groups, Student Network on Extracellular Vesicles (SNEV), distributing meeting agendas and materials, and recording meeting minutes;
Provide financial administrative assistance, such as deposits/cash sheets, check requests, drafting and distributing staff memos, coding and submitting invoices to be paid, receipts, refunds, reimbursements, posting batches, etc.
Ensure correct allocation of incoming and outgoing payments, with monthly reconciliation;
Assist ISEV Meetings Manager with deployment of annual meeting abstract procedures;
Other duties as assigned.
SKILLS AND QUALIFICATIONS: Excellent organizational and communication skills; team player; ability to prioritize varied assignments and handle multiple projects; proficiency in Word and PowerPoint; knowledge of Excel, Association Management System(s) and Outlook.
EDUCATION/EXPERIENCE:
Bachelor’s degree.
TRAVEL REQUIRED:
Approximately 3-4 weeks per year. Some weekend and evening work may be required.
WORK ENVIRONMENT: This is a full-time position is located in our office in downtown Milwaukee, WI and a minimum of two days onsite in the office (including Wednesday as an all-staff-in-office day) are a requirement of the role.
PHYSICAL REQUIREMENTS: Minimal lifting required – usually at meetings or while exhibiting. Ability to move quickly within meeting facilities.
ADDITIONAL INFORMATION: Some early morning, evening and weekend work may be required to meet client needs.
