Are you a detail-oriented professional with a passion for organizational governance and a talent for mastering systems and processes? We are seeking a Governance & Operations Specialist to support our leadership, streamline association governance, and ensure operational continuity. This is a unique, high-impact role that blends governance duties with systems and organizational support. The ideal candidate is someone who thrives in a dynamic environment, values confidentiality, and brings a problem-solving mindset to both routine and strategic tasks.

This position sits at the heart of how we govern and operate as an association. You will help ensure the integrity of our leadership processes while also contributing to the smooth running of our membership systems and internal functions. Your ability to toggle between high-level governance work and tactical operational support makes you a vital part of our mission to serve members and uphold trust.
Key Responsibilities
Governance Coordination
Coordinate all aspects of the Board of Directors and House of Delegates meetings, including scheduling, preparing and distributing notices, agendas, meeting materials, and scripts. Learn and utilize board management software.
Ensure compliance with bylaws, policies, and legal requirements related to governance practices.
Serve as staff liaison to the Bylaws and Ethics Committee, supporting the drafting and tracking of governance changes.
Maintain and protect confidential records, minutes, and sensitive association documents.
Association Management System (AMS) & Membership Data
Learn and become proficient in the association’s AMS platform, re:Members (formerly Impexium), including membership processes and reporting tools.
Ensure accuracy, consistency, and confidentiality of member and organizational data.
Assist in managing, testing, documentation, and troubleshooting.
Cross-Functional Support
Serve as a versatile team player, stepping in to support colleagues during absences or high-demand periods.
Contribute to process improvements and the development of internal policies and procedures.
Qualifications:
Bachelor's degree or equivalent work experience.
Prior experience in association governance, nonprofit administration, or board support strongly preferred.
Demonstrated ability to handle confidential information with discretion.
Strong organizational and communication skills with keen attention to detail.
Proficiency in MS Office, and experience with AMS systems; re:Members (formerly Impexium) experience is a plus.
Ability to manage multiple priorities, meet deadlines, and collaborate across teams.
Occasional travel may be required.
