ABOUT THE ORGANIZATION
American Medical Technologists located in Rosemont, IL has an immediate opening for a Chief Financial Officer. This position comes with a competitive salary and comprehensive benefit package. Although this is a virtual position, expectations are to be present in the Rosemont, IL office as needed to support local accounting staff. Preference will be given to candidates based in the Chicagoland area.
Founded in 1939, the American Medical Technologists (AMT) is a nationally recognized certification agency and membership society for twelve allied health profession disciplines, including medical laboratory scientists, medical assistants, dental assistants and phlebotomy technicians. A 501 (c) (6) organization, AMT has annual revenues of $10M and a staff of 51. AMT certification examinations are developed, administered, and analyzed using industry standards and state-of-the-art methodologies. Each examination is developed by a committee of subject-matter experts. Relevant AMT competency-based exams are accredited by the National Commission of Certifying Agencies (NCCA).
JOB DESCRIPTION
Position Title: Chief Financial Officer

POSITION SUMMARY
Reporting to the Executive Director, the Chief Financial Officer will oversee the organization’s financial activities, including being responsible for the finance and accounting professionals who perform operational functions, and serving in a strategic advisory role to the CEO and leadership. Additionally, this person will be responsible for human resources, office administration and facilities management and serve as a member of the senior management team in developing the association’s overall strategic direction. The position supervises the Human Resources Generalist, the Manager of Accounting and support accounting staff, and the Office Services Professional.
Duties & Responsibilities
Financial Strategy & Leadership
Actively participate in the development of the organization’s plans, programs and budgets as a strategic partner and business advisor.
Implement continuous improvement by integrating new best practices and lessons learned to strengthen processes and overall organizational performance.
Develop, enhance, implement, and enforce AMT policies and procedures by way of systems that will improve the overall operations and effectiveness of the association.
Track financial and organizational metrics and develop organization-wide dashboards.
Coordinate data information flow in collaboration with IT and internal database systems.
Support the Executive Director to ensure the organization remains fiscally responsible.
Work with the Executive Director to comply with required corporate and business filings for state and federal agencies.
Work with various internal and external constituencies, particularly the auditors, investment firms, liability insurance brokers, vendors and others to improve the overall effectiveness of the organization’s financial/business planning and operations.
Oversee all vendor relationships and establish clear criteria for vendor selection, negotiating favorable contracts, and regularly evaluating performance.
Provide support for the AMT Board of Directors, state chapters, the Association’s Treasurer and Finance Committee.
Financial Management & Accounting
Ensure compliance with generally accepted accounting principles.
Establish and maintain accounting and fiscal internal controls.
Supervise AMT disbursements and posting of receipts.
Prepare monthly financial statements, maintain timely and accurate financial accounting records on the accrual basis of accounting.
Monitor treasury and banking activities to ensure adequate cash flow and assets.
Supervise the preparation of the budget and suggest modifications as appropriate.
Ensure bank and investment funds are maintained in accordance with the policies set by AMT’s Board of Directors.
Oversee staff interface and support with external auditors and work with the Executive Director to ensure timely completion of federal and state tax forms.
Report the results of the external auditor’s annual examination to the Board of Directors.
Advise the Finance Committee and Board of Directors of the financial condition of AMT on a regular basis.
Employee Relations/Human Resources
Oversee all AMT human resource and employee relations activities and manage organization policies.
Provide primary staff interface and support with HR Source and other outside vendors
Oversee the hiring, orientation, onboarding, training, and disciplinary process for the organization
Ensure security, integrity, and confidentiality of data.
Review processes, update, publish and distribute the Employee Handbook.
Oversee staff benefits (Insurance, Disability, 401K, FSA) and maintain relationship with benefits administrators.
Oversee the preparation of the semi-monthly payroll.
Oversee the annual performance review process. Work with leadership to create and evaluate staff goals.
Review and evaluate employee satisfaction, discuss potential issues with senior leadership to determine if any changes are suggested.
Office Administration/Facilities Management
Oversee all administrative functions and building management, including the mail room and supplies management to ensure an effective, high quality work environment and efficient and consistent operations.
Evaluate AMT’s physical space needs and ensure that appropriate space and resources are available.
Oversee relationships with external vendors that manage the upkeep and maintenance of AMT’s office space.
JOB RELATIONSHIPS
The Chief Financial Officer reports to the Executive Director.
EDUCATION, SKILLS, & BACKGROUND REQUIRED
Bachelor’s degree in business or accounting required. Advanced degree/MBA in business, finance or accounting is considered a plus.
Minimum of five years’ experience in association finance.
Minimum of five years of accounting and bookkeeping experience for not-for-profit tax-exempt organization(s).
Minimum of five years’ experience managing human resources activities, including performance appraisals, compensation, employee benefits, employee policy manual, recruitment and retention efforts, and employee training.
Working knowledge of accounting and membership database systems, preferably NetSuite
Experience managing and developing staff.
Excellent written and verbal communication skills across all different levels of the organizations.
Ability to organize, prioritize, and coordinate a high volume of detail and a variety of projects
Experience with facilities management.
Familiarity with state chapter models a plus.
Advanced knowledge of Microsoft Office Suite including Word, Teams, Excel, Outlook and SharePoint.
WORK ENVIRONMENT OR PHYSICAL REQUIREMENTS
The daily tasks of this position are normally accomplished while seated at a desk and computer terminal.
Regular phone, email, and internet communications.
Will use general office equipment.
The employee must occasionally lift and/or move up to 15 pounds.
Some travel may be required (up to 15%).
