PRIMARY FUNCTION: Working with the Vice President of Events, the Events Manager will manage the day-to-day operations of all association events including an annual convention, fall leadership summit, regional events, and staff retreats.
Job Responsibilities:
Coordinate logistics associated with NCEA events, including AV, utilities (internet/electrical), F&B, room sets, etc. Prepare and share specifications for all vendors/suppliers.
Manage logistics for special events at conventions, such as the President’s Dinner, Superintendent’s Lunch, and other special events.
Develop and manage Event Technology platforms for call for proposals, speaker management, mobile app, and post-event surveys.
Manage event-related content in Asana and track departmental deliverables.
Coordinate with a third-party housing vendor on housing contracts, track housing inventory, room blocks, and booking pace.
Coordinate housing for staff, speakers, and VIPs as needed.
Work with the host diocese (local arrangements committee) on volunteer management, coordinate committee meetings, create and maintain the local arrangements committee handbook, and ensure Memorandum of Understanding deliverables.
Work with the membership department on registration set-up for assigned events and update weekly reports.
Coordinate show shipments for various events with the membership department.
Coordinate with necessary staff on printed and digital marketing collateral, such as preliminary and final programs.
Coordinate with the Vice President of Events on budget development, Standard Operating Procedures, on-site staff guides, and pre/post-con meetings.
In conjunction with the Business Development team, create innovative sponsorship packages for partners and exhibitors, tailoring options that enhance visibility, engagement, and value within the exhibit hall and throughout the event.
Stay informed of developments in the convention and exposition industry through contact with meeting industry peers, attendance at industry-related meetings and conventions, and reading industry literature.
Coordinate logistics for small in-house meetings, such as board and corporate partner meetings.
Perform other duties as assigned.
Qualifications:
Hybrid position with travel required (3-5 times a year). Washington, DC preferred
BA required
CMP preferred
5-7 years of non-profit meeting planning experience
Excellent written and verbal communication skills
The ability to manage multiple projects at once
Thrives in a team environment
Strong organizational skills and attention to detail
Self-driven and motivated
Able to work independently with strong problem-solving skills
Proficiency in technology including Microsoft Office Suite, Cadmium, Assana, Whova, & Adobe Suite
Ability to travel several times per year, occasionally working weekends and non-regular hours
Knowledge of Catholic Church and Catholic education
