The Vice President, Finance and Administration is a key executive role responsible for overseeing and managing all financial and administrative operations within IFDA. This includes financial management, human resources, information technology, and administrative support services. The VP will ensure the seamless integration of financial strategy with operational execution, maintaining a solid foundation for the growth and success of the organization. The VP reports to the President/CEO, Board of Directors and serves as an integral member of the senior management team.
Essential Responsibilities:
Direct the financial affairs of the organization in conjunction with the CEO, Executive Committee, Board of Directors and Audit Committee.
Lead the organization’s financial strategy, planning, and analysis, including budgeting, forecasting, financial reporting and investments.
Oversee accounting functions and ensure compliance with financial regulations and policies while managing financial controls and processes to mitigate risk.
Oversee all human resources functions, including recruitment, employee relations, performance management, compensation and benefits.
Supervise the organization’s IT infrastructure, ensuring that systems are secure, efficient, and up to date.
Additional Responsibilities and Duties:
Internal Controls/General Duties
Establish, implement and monitor accounting procedures to maximize efficiency in processing financial transactions in accordance with IFDA policy, GAAP and legislation.
Make recommendations/implement policy changes which may be warranted as a result of new programs and activities, FASB and government actions.
Maintain sound financial controls and ensure compliance with internal controls.
Manage relationships with financial institutions, investment advisors, auditors, and other consultants.
Liaison with an outsourced IT vendor to work towards ensuring data security and privacy compliance.
Supervise the daily activities for the Manager of Finance and Administration and Manager, HR & Bookkeeper.
In conjunction with Manager, HR & Bookkeeper, ensure that all company benefits are properly accounted for in the payroll system, third party systems, and the general ledger.
In conjunction with the Manager, HR & Bookkeeper, assures all benefits are being administered in compliance with internal policies and federal regulations.
Oversee the administrative support staff and their workflow process ensuring efficient operations across departments; establish and monitor staff performance and development goals, assign accountabilities, set objectives, and establish priorities.
Budget and Finance
Prepare financial statements and present them to executive leadership, board of directors and staff.
Develop and manage financial controls and process to mitigate risk.
Make journal entries as required to maintain an accurate general ledger.
Manage month-end and year-end closing.
Responsible for monthly reconciliations of general ledger activity.
Responsible for reconciliation of the Association’s investments.
Responsible for the management of fixed assets.
Direct annual budgeting and related planning processes.
Responsible for reviewing accounts payable checks for accuracy.
Audit
Liaison with the independent accountants during the annual audit and tax/information return preparation.
Prepare requested schedules for auditors during the annual audit.
Review and follow-up audit findings.
Assist auditors in the preparation of tax filings (990, 990T and VA 500).
Other
Participate in Association Board of Directors meetings.
Contribute to the development of IFDA’s strategic goals and objectives as well as the overall management of the organization.
Engage other members of the senior management team to facilitate cross-department collaboration that ensures that all financial, IT, and HR solutions positively support IFDA’s evolving strategy and operational delivery.
Maintain positive customer-based relationships with staff and members.
Supervisory Responsibilities:
Direct supervisory responsibility includes the authority, in consultation with the President and CEO, to hire, discharge, promote, reward or discipline subordinate employees or effectively recommend such actions. The Vice President, Finance and Administration supervises the following positions: Sr. Manager, Finance and Administration, Manager, HR & Bookkeeper, and two Association & Programs Coordinators.
Knowledge, Skills and Abilities Required:
Proven experience in financial management and operations, with a strong background in accounting, budgeting and financial planning.
Experience in human resources management, including employee relations, performance management, talent acquisition, and employee benefits.
Excellent leadership and interpersonal skills with the ability to collaborate effectively with all levels of staff.
Have confidence and presence to be able to work effectively with association and industry leadership.
A strategic thinker with the ability to analyze complex issues and drive solutions.
Must have strong organizational skills and the ability to manage multiple priorities and deadlines.
Flexible in adapting to organizational change.
Knowledge of legal and regulatory requirements for financial and administrative operations.
Education and Experience Requirements:
Minimum of ten years of progressively responsible experience, with at least 3 years in a senior leadership role in financial operations, preferably with a non-profit; and,
